Job Title: Finance& Administration Assistant
Location(s): London
Reporting to: Finance & Administration Officer
Role objective:
To support the Finance and Administration Officer in the delivery of those functions for the business.
Reporting to the Finance & Administration Officer we are looking to strengthen our team through the appointment of a full-time Finance & Administration Assistant.
The role will involve all aspects of internal bookkeeping and administration and assisting with various ad-hoc requests, accounts analysis and various routine administration duties. It will also involve some assistance with the implementation of a new accounting system (Xero) for the company.
Date to be reviewed: Every 6 months to reflect any changes.
Key responsibilities:
Bookkeeping & Accountancy:
· Recording day to day financial transactions
· Verifying transactions with underlying supporting documentation
· Help with the implementation of Xero – the new accounting system
· Assist with the creation of financial reports – including reports relating to rental rates and occupancy levels
· Monitor supplier invoices and set up payments for authorisation
· Assist with the preparation and reconciliation of monthly Owner Statements
· Maintain detailed petty cash records
· Maintain a detailed stock recording system
· The recording of Owner recharges
· Assistance with finance related queries
Administration:
· Opening the daily post and distributing to the relevant person for action
· Management of petty cash
· Procurement of office supplies
· Answering the office telephone when needed
Health & Safety:
Be aware of Health & Safety and COSHH regulations, including Fire Evacuation requirements
Knowledge, skills, experience:
The candidate must be detail-orientated, organized and proficient in bookkeeping and the related software – XERO/SAGE. Must show initiative and be able to prioritize and meet deadlines. Specifically, the candidate must:
· Have proven bookkeeping experience (3-5 years minimum)
· Have a basic understanding of double entry bookkeeping methods
· Be skilled in Word and Excel & MS Office – have hands on experience in producing Word and Excel spreadsheets
· Have a high degree of accuracy and attention to detail
· Have good communication skills, be friendly and able to work as part of a small team
· Be highly numerate
