Festivals and Events Assistant
Full Time / 37 Hours Per Week / Permanent
An exciting opportunity to play a key role in organising and supporting events across the city.
The Festival and Events service take pride in delivering world class, culturally diverse events such as Diwali Lights Switch On, Caribbean Carnival, the Christmas Ice Rink, Leicester Pride and the Riverside Festival in our bustling city centre and surrounding areas.
A small yet friendly team, we work closely together to organise high quality festivals and activations as well as oversee the delivery of major civic events. This includes our popular annual programmes such as St Georges Day, Belgrave Mela, Bonfire night and Christmas celebrations among others. We administer and monitor grant funded organisations to develop and deliver their own programme of events such as Black History Month, Leicester Comedy Festivals, Bring The Paint Carnival and many more.
This is a full time, permanent position working Monday to Friday. It is expected that you’ll be able to work evenings and weekends especially when on our core events are on. Flexible with work locations, you’ll have the opportunity to work from home, however, you’ll have access to office space that can be used any time during your working hours. You’ll be required to attend the office once a week and conduct on site visits and events as required.
What you’ll be doing
Supporting the team in the planning and management of a programme of events and activities, you’ll undertake marketing and promotion duties including website maintenance and development. You’ll take bookings for events and activities, process transactions associated with costs, fees and income and set up key meetings.
Liaising with officers across the council, you’ll advise event organisers, as well as maintain good communication with key partners such as Leicestershire Police, East Midlands Ambulance Service and Leicestershire and Rutland Fire Service. You’ll prepare proposals, write briefing notes, minutes, reports, letters and presentations. Undertaking research to source new performers, audiences, and participants, you’ll collate data, keep accurate records and support project monitoring and evaluation. You’ll build temporary venues, including the physical setting up and dismantling of events. Furthermore, you’ll develop on site activity and creative ideas for upcoming events.
What you’ll need
With experience of providing services to others, including managing, and maintaining successful relationships, you’ll ensure services are getting best value for money and are working to service priorities. You’ll have excellent numeracy and literacy skills whilst being competent in IT skills to use Microsoft office programmes, databases, and financial software. Using strong interpersonal and communication skills, you’ll be able to effectively liaise with internal and external partners and members of the public. Highly organised and functioning as part of a busy and dynamic team, you’ll be able to work under pressure to meet to firm deadlines. With the ability to think logically and methodically, you’ll process detail and analyse complex issues which can then be communicated in a coherent and concise manner. You’ll be able to work long days, thereby enjoying hard work, have good stamina, be prepared to take a hands on approach and get stuck into delivering the events. Outgoing and confident with a positive outlook, you’ll be able to work independently whilst using your initiative.
