A facilities management company are looking for an administrator to join the team at Derby Schools. The shift pattern will be 8:00 to 16:30 working Monday to Friday.
As Office Administrator, you will be responsible for ensuring but not limited to organise and store paperwork, documents, and computer-based information. create and maintain filing and other office systems. keep diaries and arrange appointments. schedule and attend meetings, create agendas, and take minutes - shorthand may be required to do this. Assisting the facilities management team and operational staff per schedule in a professional manner and to the highest standards. This includes:
- Ensure that Office facilities and consumables are maintained in an organised manner
- Support the site team in the preparation of correspondence and reports
- Note Taking - Accuracy in detailing meeting minutes during client meetings.
- Ensure relevant paperwork is filed appropriately and maintained in an organised manner
- Run and update damages tracker assisting FMs with damage details including costings.
- Ensure that all paperwork is produced is relevant and accessible. Report failure / manage remedials.
- Tracker updates including Extension of time, Overtime tracker & Additional hours trackers.
- Reactive & PPM Jobs, Check and monitor reactive jobs, ensure duplicated jobs are not being raised.
- Check clock ticking report and PPMs every week and inform operational team of any due/overdue PPMs.
- Extension of time requests, Review jobs on system and interaction with site teams and management review.
- Supporting MRT / caretakers with Tablets issues with assistance from FMs and IT support.
- Additional duties dependant on business needs and contract requirements.
- CCPI champion duties which will involve raising and reporting Close Calls and Positive Interventions.
The ideal Administrator will have:
- The ability to understand information, advise and liaise with others accordingly, receptive to information being communicated
- The ability to establish rapport with service users as necessary e.g. clients, members of the schools etc.
- Practical experience of administration role (although advantageous, this is not essential as full training will be provided)
- A ‘can do’ attitude
- Awareness and experience working on computers / CAFM systems and able to navigate round programmes such as Maximo / V-Nexus, Word, Excel, PowerPoint, and SharePoint.
Please note that successful candidates for this position will be subject to an Enhanced DBS check, the result of which must be considered satisfactory in line with the vetting requirements for this role.
