Job description
We are currently looking for a proactive and independent Office & Facilities Manager, to join us in the Mayfair office.
- Acting as an ambassador for Vista and the main point of contact for building related contractors;
- Maintaining an immaculate office consistent with Vista’s exacting standards, and ensuring each employee has a safe, comfortable and productive environment to work in;
- Oversee compliance of the hard and soft services, including but not limited to AC repairs/replacement, PPM (planned preventative maintenance), general maintenance and cleaning contract;
- Tendering out office contracts, choosing the supplier, negotiating the terms and the ongoing management of the contracts;
- Liaising with building management and being their main point of contact;
- Provide an annual office budget, and keep track of expenditure related to the office;
- Draw floor plans on Microsoft Visio for all new office spaces, keep the plans up to date following any furniture or construction changes in the building;
- Ensuring that the office is compliant with all local health & safety policies, procedures and documentation, undertaking an annual risk assessment and implementing any recommended changes;
- Available out of office hours for office related emergencies;
- Responsible for office security systems.
- 3+ years working in an office environment, ideally in a similar role;
- You will be able to work at a fast pace, sometimes under pressure, in order to manage a challenging workload for demanding clients;
- You will demonstrate prior experience and ability to work independently;
- Strong written and spoken English is essential when interacting with our building contractors.
