My client, a leading City law firm based near Chancery Lane, are seeking a Reception and Facilities Assistant to join their busy team.
Purpose of the Role
Providing support to the firm in the below areas. There will be scope and opportunities for you within a small facilities team to put forward ideas and proposals to improve the firm’s operations and contribute to the positive development of the firm. The facilities team are required to work on a shift rota basis.
Key Responsibilities
- Responsible for answering calls coming into the switchboard. Ensuring that all calls are answered in a professional and timely manner and are either transferred to the relevant person or a message is taken and passed on with the correct details.
- Setting up meeting rooms to the required standard for refreshments only and/or lunches. Also, promptly clearing meeting rooms after use.
- Order and organise catering for meetings and other events.
- Look after the tea/coffee stations around the building e.g. maintaining the coffee machines, re-stocking tea, coffee, sugar etc.
- Covering the reception area at certain points during the day, such as when the concierge takes a break. This involves; greeting and welcoming guests as they arrive into the office as well as accepting deliveries
- Responsible for booking fee earner travel through the firms travel agent, including booking hotels in the UK and abroad
- Take ownership of the travel booking process by being the first point of call for queries relating to travel and travel insurance
- Be aware of the office area, reporting any maintenance and security issues
- Adhere to all health and safety related procedures, reporting any relevant risks, near misses, accidents or incidents to the relevant person
- Providing ad-hoc administrative support to the Head of Facilities
Key Skills
- Proven working experience in a role such as a Receptionist or Facilities Assistant,
- Excellent customer service skills
- Ability to liaise confidently with fee earners and staff
- Hands-on experience with office equipment and good IT skills
- Professional attitude and appearance
- The ability to work as part of a team and maintain close working relationships with all team members
- Good written and verbal communication skills
- Ability to be resourceful and proactive when issues arise
- Excellent organisational skills
- Multitasking and time-management skills, with the ability to prioritise tasks
- Good food hygiene knowledge (training will be provided)
Job Types: Full-time, Permanent
Salary: £30,000.00-£35,000.00 per year
