We are looking for an experienced Private Personal Assistant and Executive Assistant to support an ultra-high-net-worth businesswoman that works in the film and fashion industry. Working in a dynamic and creative environment, you will provide full personal and professional support to the principal.
This role will provide critical support to the principal, you will manage the family’s busy schedules, dairies, and logistics. Your role will act as a lynchpin to this small team, ensuring regular correspondence with the owners when they are out of the office and undertaking other general administrative duties. You will be responsible for overseeing two other Personal Assistants, liaising with the family office, and the wider team to ensure the principal’s life runs smoothly at all times.
The ideal candidate will need to be trustworthy, committed, and highly efficient. This is a relaxed yet fast-paced household – the principal is looking for someone they can get on well with and build a good working relationship, whilst always maintaining professional boundaries.
This role will mainly be working from the family office at the principal’s residence in Banbury, with the occasional travel to their residence in London. Typical working hours are Monday to Friday, 9am – 6pm, with the flexibility to work some weekends and be available out of hours. You also may be required to travel to different locations and sets during periods of filming or be asked to accompany the principal during family holidays.
DUTIES INCLUDE BUT ARE NOT LIMITED TO:
· Complex diary and inbox management both personally and professionally
· Daily management of a PA that is responsible for the children’s needs
· Daily management of a PA that gives support to the team and head of households
· Ensure the principal’s diary is synchronised with her husbands
· Managing all appointments, calls and meetings
· Business travel bookings both domestic and international – flights, hotels, cars, logistics
· Arrange personal and family holidays with the wider team
· Prepare documents for travel – passports and visas, always ensuring they are in date and renewed plenty of time ahead of travel
· Liaise with household staff to ensure a smooth daily itinerary
· Book assistants, seamstresses, tailors, and fitness instructors
· Keep track and book all health appointments
· Manage project timelines for team tracking deadlines, contractual obligations, and allocations
· Provide support to the business team
· General outreach and communication with partners, updating on upcoming events and activities
· Tracking collections – SKUs, colourways, price points, launch plans, and sales
· Assisting with mood boards and bringing ideas for discussion
· Attending and assisting at photoshoots and fittings
· Sourcing products and items, as well as taking care of deliveries and returns
· Managing photography team bookings and logistics
· Creating call-sheets
· Tracking all events, PR, and sampling requests – flagging deadlines and needs
· Provide additional support to the principals and Directors on any other activities related to either fashion/PR remit or the film side, where appropriate
ESSENTIAL CRITERIA:
· Prior Private PA & EA experience supporting an ultra-high-net-worth individual
· Hardworking, driven and enthusiastic
· High level of organisation and attention to detail
· Very proactive, adaptable, and unruffled by changing plans
· Team player – eager to communicate
· Calm under pressure
· Trustworthy, loyal, and dedicated
· Flexible, happy to be on-call out of hours
· IT literate – Microsoft Office including Outlook, Word, Excel, PowerPoint and Keynote – ideally Adobe creative suite, in Design and all Apple packages
· Willingness to travel as part of the role
· Fluent in English – in both written and spoken
· Excellent checkable reference

Salary: £70,000.00-£75,000.00 per year
