We are currently seeking several high calibre Executive Assistants on a part-time basis to join our Clevertouch family!
Clevertouch is a Virtual Executive Assistants Agency– we support busy professionals that all have one thing in common – their different neurological make-up.
Busy professionals can often feel like they’re overburdened with high expectations and a heavy workload - that's where Clevertouch comes in! We work with a wide range of clients across varying industries. From start-up companies to Enterprise Managing Directors and well-known brands; as a team we’ve worked with a breadth of clientele. Through our experience of working with neurodivergent owners, we’ve gained invaluable insight to help us understand what makes our clients different, and brilliant!
We not only provide support, but we also mentor our clients. We don’t just provide solutions to an initial problem, but we help our clients to wade through the tasks that cause them challenges. We help them see, that by outsourcing these challenges to our experienced EAs, they can focus on their goals and objectives. This supports both personal and professional growth and success.
Our EAs are people who not only understand the differences in characteristics but are also empathetic and supportive in a way which will help our clients achieve all they can each day.
Working remotely, we are a small team of client-facing Executive Assistants, coupled with Business Referral Partners in other related industries - who are UK based. The ideal candidate will hold a proven record in Personal or Executive Assistant support, will love to get under the skin of their client’s business’s and enjoy forming new relationships. We will require the successful candidate to work 10am – 3pm Monday to Friday, equating to 25 hours in total.
The role:
- Excellent Microsoft Office and G-Suite skills essential
- Inbox management, correspondence, and reminders
- Diary management and scheduling with internal and external stakeholders
- Ability to prioritise key tasks and requests.
- Confident to converse with clients both on phone and video calls.
- Project assistance and liaison to keep abreast of project status and milestones.
- Business development support
- Document creation, management, and dissemination
- Domestic and international travel and accommodation sourcing
- Booking pre-travel requirements
- Invoicing and tracking (excluding book-keeping) [Harvest/Free Agent/Xero/Quickbooks]
- Online bookings, e.g., cars, restaurants, corporate gifts, etc.
- Domestic appointments, e.g., cleaner, therapist, dentist, liaising with nurseries, vets, car lease companies etc.
- Event planning
- Knowledge of Slack/Trello/Notion/Teamwork/Airtable/Click Up/Monday.com/Calendly would be an advantage.
You will possess:
- Proven PA/EA or relevant experience
- An interest or background in mental wellbeing advantageous
- Experienced business support professionals with strong organisational skills, ability to forward plan, proactive with bags of initiative.
- Highly efficient, organised, and resourceful person who relishes tasks that involves team collaboration and communication – a passionate people person who loves working as part of a team.
- Confident communicating with clients, colleagues, management, and suppliers with strong impersonal and communication skills.
- A confident, positive, energetic, and outgoing team player who relishes working flexibly in a fast-paced working environment and remains calm under pressure.
- Demonstrates great customer service and an overall passion for excellence.
