Job Title: Executive / Operational Assistant - Estates, Tech & Projects
Location: Manchester
Salary: £34,000 - £37,000
About the Role
Providing senior level operational and administrative support and coordination to the Director of Estates and Executive Head of Tech and Resources to support the successful delivery of the Estates Strategy and its associated projects.
Specific Duties and Responsibilities
Project Support & Coordination
- Working closely with and supporting key stakeholders and the Project Teams to facilitate the successful delivery of a variety of projects
- Coordinating and administering the Project Register, Estates Development Plan, and associated Project Plans
- Attending Project Meetings both on and off site to Chair, deputise and / or manage outcomes and actions as required.

Implementing effective systems for the efficient and effective coordination of projects to include: -
- Updates to Project Plans
- Action management and resolution
- Scheduling and administering Project Meetings
- Cost schedules
- Providing regular project up
Governance & Operational Support
- Working closely with Department Heads and other key stakeholders to coordinate andsupport the Master Annual Operating Schedule, identifying arrears of slippage, providing regular progress reports to the Executive Leadership Team and supporting key stakeholders
- with its implementation and successful delivery
- Coordinating and administering the ERT Working Group in line with the Terms of Reference. Arranging and facilitating meetings, acting as Chair as required, issuing agendas, managing papers, coordinating actions
Diary Management & General Administrative Support
- Providing administrative and operational support to the Director of Estates and Executive Head of Tech and Resources as required
- Managing diaries, schedules and making arrangements for travel and meetings
- Liaising and corresponding with internal and external contacts
- Attending meetings both on and off site to deputise, chair, manage actions as required
Budgetary Coordination
- Coordinating and administering the OpEx, CapEx and Project budgets.
- Working with the Accounts Team to develop budget reports, analysing spend and providing regular updates to the Director of Estates and Executive Head of Tech and Resources
- Raising POs, approving spend against budget, invoice administration and query resolution
Person Specification
- Educated to degree level or relevant professional qualification (desirable)
- Experience of providing administrative support and coordination at Exec Level
- Experience of working in a delivery project and / or working to project plans
- Experience of minuting and facilitating meetings as well as of recording and following up on action points
