These position locations are preferred and not eligible for relocation, visa or immigration assistance. The job offers flex time but also requires a flexible schedule. This position is available for remote work, work based at a TNC office or a combination of the two.

What We Can Achieve Together:

The Executive Coordinator will report to the Managing Director Europe. They will perform a variety of high-level administrative tasks, including arrangements of meetings and special events logistics, calendar management and drafting correspondence. They will communicate on behalf of the managing director and will have contact with stakeholders, including all levels of staff, donors, volunteers, vendors and business relations. They will create and maintain regular and emergent communication and engagement across the Europe team and manage the agendas and support the organization of the Europe all staff calls and retreats.

This position may require travel and may work long and flexible hours as needed.

Responsibilities and Scope:

The Executive Coordinator will work directly with the Director and ley members of the leadership team to help manage and coordinate our team’s cross-collaborative engagements and partnerships internally and externally.

  • Coordinate complex scheduling and calendar management for virtual and in person meetings, including last minute changes, late-breaking needs, time-zone considerations, and the associated logistics.
  • Travel logistics
  • Support inbox management, including rerouting to different staff and teams, and looping in interested parties.
  • Administrative duties, for example, prepare and approve expense reports with relevant documentation on the Director’s behalf, provide signatures on documents approved.
  • Assist with managing the Annual Performance Partnership Process with direct reports.
  • Assist with event and off-site meeting planning as needed (i.e. catering, group lodging, venue, defining and routing related agreements/contracts, communicating with attendees)
  • Assist with coordination of the European Council for Global Conservation
  • Assist with the administration of Related Entities and Project Review Committee
  • Support the coordination of senior leaders and CEO visits to Europe.
  • Maintain a central filing system for agreements, approvals, and final products, including related audit/compliance records.
  • Manage agendas and organize the monthly Europe all staff call and Europe Leadership Team calls.
  • Strong time-management skills and ability to organize and coordinate multiple concurrent needs.
  • Prepare notes and next steps and monitor deadlines.
  • Demonstrate sensitivity in handling confidential information.
  • Work is diversified and may not always fall under established practices and guidelines.

What You’ll Bring:

  • Bachelor’s degree and 3 years related experience or equivalent combination.
  • Experience with administrative or coordinating duties, or equivalent transferrable experience.
  • Experience managing the schedule, inbox, contacts and/or communications of a senior leader.
  • Experience working collaboratively across functions or departments.
  • Fluency in English.

  • Multi-lingual skills and multi-cultural or cross-cultural experiences are appreciated.

  • Experience facilitating information sharing or improving information flow.
  • Demonstrated experience using diplomacy and tact to build strong relationships and motivate staff.

  • Proactive, self-starting approach.
  • Good communication skills. Using assertive communication to build strong relationships and motivate staff. As well as experience proof-reading, writing internal team communication drafts and editing.
  • Experience coordinating different deadlines and multiple concurrent needs.
  • Ability to use existing technology to achieve desired results (Microsoft Office, Concur SAP, Deltek or similar).
  • Experience interpreting guidelines to achieve desired results.
  • Strong organizational skills, accuracy, attention to detail and ability to manage multiple tasks.
  • Successful experience supporting senior leaders in the implementation of strategic program goals through related administrative and coordinating tasks.
  • Strong convening and inclusive facilitation skills.
  • Experience or exposure to generating reports and analyzing and interpreting data.
  • Experience with or exposure to database management.
