Job description

This role, covering diary management and executive support to two Deputy Directors, provides an opportunity to learn about the work of DIT’s Nations and Agri Food and Drink Directorate, as a key part of the DIT Wales and DIT Northern Ireland teams, and teams across the wider Exports and Investment Group, together with other areas of the Department for International Trade.

The successful candidate will engage and communicate with a range of diverse people across different areas of work within different market sector teams across the Export and Trade portfolios. We are looking for someone who is effective in managing their time, enthusiastic, resilient, and always keen to learn.

The role also requires you to be highly organised and able to juggle competing pressures effectively in order to prioritise a full workload. You will need excellent communication skills and be confident when talking to senior stakeholders and other senior officials. The successful candidate will build good personal relationships with other Executive Assistants both in the other Nations teams and in other Private Offices across the Department.

There will be opportunities to develop wider, policy-based skills as well as showcasing your strong administrative and organisational skills and operational delivery skills.  There may also be opportunities to visit other teams within the Directorate, across the UK.

This role also provides a suitable platform for developing in-depth knowledge about the United Kingdom and devolution as well as working with the Devolved Administrations, and how international trade works, as well as the UK’s new Free Trade Agreements.

Job description

  • Building and maintaining effective relationships across the teams, the wider DIT Hub in Belfast and Cardiff, other DIT teams, and wider government, as well as key stakeholders in the Devolved Administrations.
  • Managing diary arrangements for the Deputy Directors, reflecting their priorities and using your own judgement to resolve clashes in meeting schedules; ensuring that both Deputy Directors are fully briefed and prepped ahead of meetings.
  • Managing the Deputy Directors’ emails, using your judgement to prioritise tasks and flag urgent inquiries for their attention.
  • Making travel arrangements in accordance with travel policies, ensuring that you choose the most cost effective and time efficient method, recognising the implications for public transparency and accountability.
  • Organising team and Directorate meetings, acting as secretariat.
  • Providing requisitioning, purchasing, budget and recruitment support for the team, and managing stationery orders.
  • Liaising with the Deputy Director’s own team, the Director’s Business Support team as well as staff in other Private Offices in the Exports and Trade Group and elsewhere across DIT.

The role will be based in either Belfast or Cardiff. You will be asked to express a location preference during the application process.

Informal hybrid working arrangements will be available as agreed with the vacancy manager and in line with the requirements of the role.

Most DIT employees will be working a hybrid pattern, spending 2-3 days a week (pro rata) in an office, on average.
