About the Role

We have an exciting opportunity within the office of our CEO. We’re looking for a highly organised, intelligent, ambitious and proactive individual to provide high-level administrative and tactical support to the CEO.

We are seeking someone who thrives in a fast-paced and diverse environment, who has exceptional communication and relationship management skills, and who wants to use their organisational and coordination skills to make real business impact.

To be successful in this role, you’ll need to be able to anticipate and respond to the needs of our CEO. You’ll create space for them to function at the highest level, by ensuring their time is used most effectively and removing administrative/operational friction. You will be able to pick up tasks/projects at short notice and support with the preparation of meetings, presentations or events. You will also have a strong desire to learn rapidly from within this unique environment, be open-minded, discrete and humble.

This is a great opportunity to learn what it takes in building and scaling a technology company - you’ll partner closely with our co-founder/CEO and be exposed to all areas of the business.

Key Responsibilities:

  • Manage complex schedules and calendars, and tactically prioritise the CEO’s time based on business needs.
  • Hold the CEO accountable for completing tasks and meeting deadlines, providing reminders and follow-ups when necessary.
  • Manage the CEO's email inbox, prioritise incoming emails, respond to or delegate messages as appropriate, and ensure timely and efficient communication.
  • Coordinate and manage travel arrangements, including flight bookings, accommodations, and itineraries.
  • Prepare and edit correspondence, presentations, and reports on behalf of the CEO.
  • Attend meetings and take accurate minutes, ensuring prompt distribution and follow-up on action items.
  • Act as a liaison between the CEO and internal/external stakeholders, maintaining positive and professional relationships.
  • Conduct research, compile data, and prepare briefing materials for meetings and presentations.
  • Handle confidential and sensitive information with utmost discretion and maintain strict confidentiality at all times.
  • Collaborate with cross-functional teams and assist in coordinating projects and initiatives.
  • Prioritise and manage multiple tasks simultaneously, ensuring timely completion and attention to detail.
  • Assist in organising and coordinating company-wide events, conferences, and team activities.
  • Proactively identify areas for process improvement and implement streamlined systems and procedures.

  • Flexibility and adaptability to changing priorities and demands.
  • A positive and proactive attitude, with a willingness to go the extra mile to ensure success.
  • Ability to hold the CEO accountable and manage upwards, creating an environment of accountability.

Nice to Haves:

  • Experience in the tech or startup industry.
  • Familiarity with travel arrangements and expense management.
  • Knowledge of project management principles and tools such as Asana, Monday.com etc..

The majority of our team work remotely, but for this role we're looking for someone who can be flexible, and work in-person when required.
