Applications are invited for an executive assistant to manage the administrative office of Professor John Gallacher, with his portfolio of high-value research grants and his university role within the Department of Psychiatry. These include:
- Dementias Platform UK is a partnership between public, private and charity sector organisations that brings together expertise from across academia and industry to find and develop new ways of detecting, treating and preventing dementia ( www.dementiasplatform.uk)
- BrainWaves is a new adolescent mental health research platform which will combine data from different sources to build the evidence base to make a long-term contribution to adolescent mental health research and to ensure schools become more effective environments for developing wellbeing in adolescence. The post is for a fixed term (funded to 31 December 2025) and is based in the Department of Psychiatry at the Warneford Hospital.
You will handle a wide range of business, much of which is confidential and/or of an urgent nature. You will ensure the smooth and effective running of Professor Gallacher’s activities through Executive Assistant, research support and team administration work, managing email traffic efficiently and consistently across several inboxes, delegating as appropriately and proposing solutions or resolving problems. You will be first point of contact for public and internal queries and will support other senior members of staff . You will manage and have the support of a part-time administration assistant.
In addition, the role is central to the maintenance of a friendly and cohesive atmosphere across the team based in Oxford and the wider team based at partner organisations around the UK and internationally. You will work closely with key members of the teams on the two exciting grants mentioned above and others as they are developed.
You will be educated to degree standard (or equivalent), with experience of managing the office of a senior member of staff, including diary management, and making complex travel arrangements. You will have the ability to draft correspondence and produce well-presented reports and have the highest level of professionalism, discretion and diplomacy in dealing with confidential information, sensitive issues or high-profile contacts. Experience of working within a Higher Education institution, and line management experience would be desirable.
