We are seeking an Executive Assistant to support three directors in the management of their workloads. They are the Directors of People and Culture, Marketing and Communications and Mental Health Workforce Development.
What will I be responsible for in my new role?Overall purpose of the roleTo ensure our Directors are fully supported, we are seeking an Executive Assistant to support three directors in the management of their workloads. They are the Directors of People and Culture, Marketing and Communications and Mental Health Workforce Development.You will help them manage their workloads by organising their diaries, preparing documentation for meetings, and undertaking small projects for them. The role requires you to liaise with all departments across Place2Be and a wide range of external stakeholders including the Executive Team, Trustees and Senior Executives from external organisations. As a frequent first point of contact, you will be instrumental in reflecting the high-quality standards and professionalism of our work.
Strong administrative and organisational skills are essential, together with an enthusiastic and flexible approach to work, good interpersonal skills and a genuine passion to make a difference.
You will:
- Ensure all internal and external communications are handled in a timely and effective way.
- Manage diaries and inboxes as requested
- Provide administrative assistance to the Support teams
- Take, circulate and follow up meeting minutes.
- Undertake general administrative tasks
- Ensure expenses claims and invoices for the team are processed in a timely manner

About You
As the successful candidate:
You will:
- Possess excellent communication skills - written and verbal – with a confident and firm (when necessary) but pleasant telephone manner, maintaining confidentiality. At ease communicating with a wide range of people, confidently building and maintaining relationships. Ability to work effectively with all levels within the organisation and with key external partners and funders
- Significant administrative/PA experience, ideally including experience working with Directors in a busy office environment.
- Strong planner, well organised, unflappable, with a demonstrable track record of working under pressure.
- Ability to use own initiative, energetic and a self-starter
- Numerate, strong writing skills, demonstrating attention to detail and able to produce written documents to a high standard.
- Able to maintain accurate confidential systems of records, either manually or on a database.
- Team player, able to create favourable working relationships easily, with the ability to organise others when necessary.
- Ability to manage up and have professional relationships with senior members of the team.
- Skilled in Outlook, Word, Excel, PowerPoint.

About Us
Place2Be is the leading children's mental health charity providing in-school support and expert professional development to improve the emotional wellbeing of children and young people, families, teachers and school staff. The charity currently provides an embedded mental health service in almost 400 UK primary and secondary schools supporting a school community of around 225,000 children and young people.
Our teams provide a range of services in our partner schools to build resilience early in life through counselling, creative work and play and support a child’s ability to engage in school life. Our work, focused on early intervention, is part of the ‘comprehensive CAMHS system’.
Through our professional development programme, we are training c1200 Counsellors on Placement each year who build their mental health and counselling skills and experience through practice in our partner schools. We also provide a range of professional development programmes on mental health and wellbeing for school leaders, teachers and other professionals who work with children and young people, so we can help to build ‘mentally healthy’ schools and communities where all children can thrive and flourish.
We continue to pilot, trial and explore new ways in which we can develop our practice as well as share learning, expertise and findings from the robust evidence and evaluation we gather.
