Job Title: Executive Assistant
Location: Battersea
Reports to: Director
Job Purpose: To support and enable the Director to focus on strategic business initiatives while efficiently handling day-to-day tasks.
Main Duties and Responsibilities
Executive Support
· Regular office attendance is essential to ensure seamless support during the Director's presence in the office.
· Providing efficient administrative and support services to the Director.
· Act as a key point of contact for internal and external business matters, ensuring effective communication with teams across different time zones.
· Responsible for managing the Director's to-do lists and project trackers, ensuring tasks are organized, prioritized, and completed efficiently.
· Efficiently manage the Director’s calendars, prioritizing meetings, resolving meeting conflicts, and booking meeting rooms.
· Provide updates and insights to the Director by preparing comprehensive summaries and reports for the Director's review.
· Carry out ad-hoc projects as required.
· Document meeting minutes and follow-up actions.
Communication Management
· Respond to all emails, letters, and incoming calls in a courteous and effective manner, ensuring urgent matters are brought to the attention of the Director.
· Handle confidential and sensitive information with discretion and professionalism.
· Liaise with other department heads on behalf of the Director and maintain close contact to facilitate smooth operations.
Personal Support & Travel Management
· Provide personal support to the Director as needed. Including but not limited to, managing reservations, attending to guests, and assisting with household management. This involves coordinating the Director's busy calendar for social engagements and networking events.
· Arrange business and personal travel itineraries for the Director, including flights, transport, hotels, and visas when necessary.
· Submit all expenses for the Director in a timely manner and keep accurate records.
· Management of miscellaneous issues.
· Available and willing for domestic and international travel when required.
Knowledge and Skills
· Prior experience in business support or as a personal assistant to senior members of an organization.
· Proficient in Microsoft Office (i.e. Word, Excel, PowerPoint) and other relevant productivity tools.
· Strong calendar management.
· Excellent written and verbal communication skills.
· Ability to handle confidential and sensitive information with discretion.
· Exceptional problem-solving and critical-thinking skills.
· Project management skills to coordinate special projects and events.
Personal Aptitudes
· The role requires a high level of flexibility and availability due to the Director's travel and work across different time zones.
· Comfortable in working with individuals from diverse backgrounds.
· Ability to remain calm under pressure and maintain diligence and efficiency.
· Strong attention to detail and self-motivated work ethic.

· Resourcefulness in finding solutions and managing tasks efficiently.
Job Type: Full-time
Salary: £9,999.00-£99,999.00 per year
