Job Title: Executive Assistant to the Co-CEO
Business Unit: Operations Team
Position reports to: Operations Manager
Summary: As an Executive Assistant to the Co-CEO, you will provide high level professional, secretarial and administrative support working closely with the Co-CEO and managing an extremely busy diary.
Reporting to the Operations Manager, you will act as a first point of contact for the Co-CEO, handling complex and confidential situations and requests. Therefore, you must be a skilled communicator with experience of dealing with people from a diverse range of backgrounds and abilities.
This is a key role for House Productions and involves handling sensitive information, working in a high-pressure, fast-moving environment, assessing priorities and taking the appropriate action to ensure the smooth running of the office and diary.
Key Responsibilities
- Providing a comprehensive diary management service ensuring effective management of the Co-CEO's time.
- In addition, providing ad hoc support where required for the other Co-CEO's and the MD’s diaries to ensure the smooth running of the leadership team’s calendars.
- Providing day to day support in the managing of all aspects of practical office management, such as maintenance of the building, amenities, furniture, equipment, upkeep, IT and other infrastructure.
- Frequently liaising with senior level internal and external contacts/stakeholders and dealing with routine issues while coordinating more complex matters ensuring that tasks are delivered in a timely and effective manner.
- Screening and prioritising all forms of communications relevant to the Co-CEO.
- Booking venues, travel, and accommodation.
- Organising dial-ins, conference calls and zoom meetings (or similar).
- Organising in-person meetings.
- Booking lunch orders, refreshments and handling front of house duties.
- Preparing complex documents such as decks, briefs, board documents and so on, as required by the Co-CEO
- Preparing and delivering gifts from House Productions to internal or external stakeholders.
- Coordinating outgoing and incoming post as well as cars & couriers.
- Maintaining efficient and effective filing systems, ensuring all documentation is catalogued and organised using internal systems.
- Maintaining and updating the Film and TV Development Slates as required by the Co-CEO.
- Providing administrative support to the Development Team as and when requested by the Co-CEO
- Providing other/ad hoc support to Development Team activities s and when requested by the Co-CEO
- Any other similar duties as requested
Key Requirements
- High attention to detail and significant practical experience of gathering, reviewing and collating complex and confidential information.
- Excellent organisation, diary management and planning skills.
- Significant tact and integrity is required to manage the sensitive nature of information
- Strong computer skills, with demonstrable experience of office software packages (i.e. Word, Excel and PowerPoint).
- Strong interpersonal skills with the ability to communicate effectively at all levels.
- Ability to calmly and effectively handle multiple and often conflicting requests, regularly reprioritising various workload to ensure business objectives are achieved.
- Ability to develop strong working relationships with stakeholders at all levels of the organisation and externally.
- Ability to use own initiative, be proactive and deal with specific queries as they arise.
- A passion for drama, television, film, theatre and podcasts.
- Previous experience of operating as a PA at a management level.
