We are looking for an experienced Executive Assistant to support our Chief HR Officer, based from our dynamic London UK headquartered office overlooking Hyde Park near Marble Arch. You will be part of the Global HR team, collaborating with other accomplished Executive Assistants as required, handling complex meeting and travel agendas, preparing documents, and project work as needed. Joining Tate & Lyle in the UK
Our global headquarters are in a fantastic London location, overlooking Hyde Park near Marble Arch. The office is home to our Executive Board and colleagues working across a range of global functions. The majority of the team split their time between home and office. The site is set up to support hybrid working and promote collaboration. It is a progressive workspace with a mix of different areas including meeting pods, sofas, an outside terrace, a quiet library room and a wellbeing space.
Your role in our future
You will support the Chief HR Officer predominantly, with close connection the broader HR Team. You will also get to collaborate other highly accomplished EAs as part of a wider, global team .
As a key point of contact, for a member of the ExCo Team,, you must expect to in the office at least 2-3 days of any given week, but will need to be flexible around which days they may be.
More specifically you will be:
- Managing diaries including several timezones
- Accurately scheduling internal and external, local and global meetings (virtually or in person) ensuring relevant information is available to the required and relevant attendees in good time
- Ensuring that appropriate refreshments are available and reserve appropriate meeting rooms in relevant locations
- Organising travel (international and domestic), including multi-destination trips including itineraries, end to end travel and visas where required
- Processing expenses in Concur
- Creating and editing documents in Word, Excel and PowerPoint ensuring a professional look, feel and communication style
- Managing invoice process from concept to payment: request PO numbers from procurement via SAP, validate accuracy of incoming invoices, log and approve invoices as relevant and ensure successful payment of all incoming invoices
- As required, monitoring and filtering emails, following up and actioning accordingly
- Leading or participating in ad-hoc projects
- Providing holiday and absence cover for other EAs/PAs as and when needed
- Handling data and information sensitively, tactfully and confidentially
What we’re looking for
- Previous experience working as an Executive Assistant to Senior Leadership, ideally in a global business
- Strong experience working at pace, flawlessly managing multiple diaries
- Intermediate to advanced experience of MS Office Suite with strong numeracy skills and the ability to quickly produce professional and accurate documents
- Comfortable using online expenses systems (Concur) and SAP
- Able to work at pace autonomously, successfully juggling multiple priorities and projects
- First class communication skills
- Warm, friendly, patient, proactive and helpful in everything you do and how you achieve it
- Excellent organisation, prioritisation and time management skills, always meeting deadlines and exceeding expectations
- Attention to detail and discretion are key to success in this role
