Remuneration: £29,000 to £35,000
The Executive Assistant will provide effective support to the Chief Executive Officers (CEOs), and the other members of the Senior Management Team (x4)
Working to the Co-CEO’s, 4 senior managers and a staff team, the Executive Assistant is a key member of the team. You will be a part of the organisation's public face, welcoming visitors and responding to queries. Support good internal communications and a positive working environment, ensuring the small office functions properly, and delivering both regular meetings and ad hoc events, the job holder will be in regular contact with senior stakeholders.
Running the office and overseeing building administration involves a wide range of tasks. In a small team, it is important to take a flexible approach to the sharing of duties, and be prepared occasionally to work irregular hours, notably when there is an important event to organise or support or an ad hoc project to deliver.
The post holder will undertake duties such as:
- Organise and maintain the Co-CEOs diaries including making appointments, coordinating diaries, and keeping track of outstanding tasks to be completed, ensuring time allocated reflects the strategic priorities of the organisation
- Represent the CEOs and MLCE by meeting and greeting external and internal visitors, taking and directing phone calls, and managing the CEOs communications with internal and external colleagues
- Maintain good working relations with key individuals and stakeholders within the voluntary, statutory, public and business sectors
- Ensure required information is readily available to support business decisions by managing databases and filing systems, tracking attendance at meetings, and distributing and filing reports appropriately
- Manage, attend and minute key internal and external meetings
- Support the CEOs with the production of high-quality branded MLCE material including presentations, documents, reports, and other internal and external communications, liaising with external agencies such as design and print agencies if needed
- Managing venue bookings
- dealing with routine correspondence
- managing a contacts database and electronic filing system, and looking after office equipment and supplies
- Finance and HR support
- Ad hoc project management
- Undertake other duties as requested by the CEOs that are commensurate with the post and the development of the organisation
- Promote equality and diversity in all undertakings
- In all undertakings ensure compliance with MLCE policies
· Successful candidates must undergo an Enhanced CRB check, on the basis that the post involves contact with vulnerable adults, in accordance with Rehabilitation of Offenders Act (1974).
