That's why we're seeking a talented and organized Executive Assistant (EA) to provide crucial support to our CEO, Lydia.
As an EA at Housemates, you'll be the primary point of contact for Lydia and play a vital role in managing information flow with precision and timeliness. Your exceptional organizational skills and ability to thrive under pressure will ensure efficient and executive-level support.
To excel in this role, the ideal candidate should possess excellent communication and written skills, establish strong relationships, demonstrate punctuality, and pay meticulous attention to detail.
Key Responsibilities:
- Act as the central contact point for the CEO, ensuring effective communication.
- Manage and maintain Lydia's calendar, scheduling meetings and appointments.
- Coordinate travel arrangements and accommodations, considering Housemates' global presence with three offices.
- Monitor daily expenses and prepare reports on a weekly, monthly, or quarterly basis.
- Supervise other clerical staff and oversee office supply inventory.
- Format internal and external communications, including memos, emails, presentations, and reports.
- Take accurate minutes during meetings.
- Screen and direct phone calls and handle correspondence distribution.
- Organize and maintain an efficient filing system.
Requirements and Skills:
- Proven work experience as an Executive Assistant or Personal Assistant.
- Excellent knowledge of MS Office.
- Exceptional organizational and time management skills.
- Familiarity with office gadgets and applications (e.g., e-calendars and copy machines).
- Strong verbal and written communication abilities.
- Ability to exercise discretion and maintain confidentiality.
