Executive Assistant Team Leader, Home based - ARD911141
Do you have exceptional organisational skills combined with excellent leadership skills? Maybe you are an experienced Executive Assistant (EA) who wants to move into People Management, or maybe you already have management experience? We have an exciting dual role which may be a fantastic step in your career. This is a new role which alongside being an excellent EA also leads a small team of EAs who support our Executive Team.
This is more than a standard Executive Assistant role; you will be exposed to the inner workings of the whole organisation and will make a clear and defining contribution to the leadership team and the business. You are likely to be a high performing individual who can deliver ideas and inputs coherently and precisely.
Though remote and based from home, there will be a degree of flexibility required and some travel within the UK from time to time to attend meetings.
What experience do you need for the Executive Assistant Team Leader role?
It’s essential that you have extensive experience as an Executive Assistant supporting at Director / ExCo level. You will be considered expert level using the full suite of MS Office as this role will require you to prepare reports and presentations for meetings.
Experience in coaching and Managing people is essential to ensure we have a high performing and motivated EA Team.
This position requires a high level of attention to detail, confidentiality, and an ability to multi—task is of course a prerequisite. To be successful you must have excellent communication and relationship building skills, be exceptionally organised, and have the intuition to balance competing and complex priorities to ensure the smooth running of the EA operations. .If you come from professional services or financial services that would also be an advantage, though not essential.
Main Accountabilities
- Provide a comprehensive and fully confidential clerical and personal assistance service to your allocated member of the Executive Committee
- Gathering business reports, proof reading and compiling them into Exco or Board packs.
- Collate information, statistics, reports, presentations, and briefs in conjunction with communications team where required.
- Answer and field any requests and queries appropriately and confidentially
- Accountability of all Executive Assistant operations ensuring effective escalation of any issues which can’t be resolved locally, supporting the team to take ownership of all appropriate areas of responsibilities and queries in line with agreed policies and processes.
- Provide effective People Management to the EA team, including all first-line HR responsibilities, such as coordinating annual leave, absence management, training and supporting staff with welfare needs.
- To plan and coordinate induction and training programmes for any new Executive Assistant and/or changed processes.
- To facilitate effective communication within the team, ensuring any changes to process are cascaded effectively.
- To proactively manage periods of high demand and monitor the quality and effectiveness of support, performing reports and audits to identify opportunities for improvement and escalating where required.
- To help maintain a Quality Improvement culture across the Practice, leading by example.
What skills will you need?
- Motivation and Coaching skills – to lead and motivate a team to deliver exceptional service or demonstrate the potential to do so.
- Problem solving – an ability to think critically and from multiple perspectives to evaluate and reach effective solutions
- Organised - with razor sharp attention to detail with best-in-class expectation management for self and EA team
- Developing relationships - helping the leadership team to drive the business to reach its ambitions.
- Communication – Verbal and an excellent standard of English
- Understanding complex Data - digesting and interpreting information at speed enabling you to analyse complex issues and develop effective solutions.
- Excellent MS Office skills - including Excel, Word and PowerPoint.
- Learning - you will want to develop and learn something new everyday.
- Listening - in addition to providing feedback you will need to hear and understand the team.
- Unafraid - to challenge to status quo.
- Adaptable – ability to multitask and continuously prioritise.
