Location: Cheltenham, Gloucestershire (hybrid working)
The role:
You will provide executive support to our Steam Business Development (SBD) Director, part of our global Steam Specialities business. You will provide the usual executive assistance, alongside supporting the Director with their transition after relocating to the UK.
Key responsibilities:
- Supporting the relocation of the SBD Director from China into the UK.
- Full responsibility for the day-to-day running of the Director’s offices, pro-actively managing own and the Director’s workloads.
- As gatekeeper of the Director’s time, you will ensure that the Director remains sufficiently accessible, while keeping them on track with their daily objectives.
- Diary management, arranging both internal and external meetings, ensuring maximum time utilisation.
- Pro-active management of emails, responding where appropriate and within remit on behalf of the Director and highlighting those that need immediate attention.
- Travel arrangements for the Director when attending meetings and other conferences as required.
- A pro-active member of the Leadership Team, organising and coordinating regular monthly meetings, supporting with minutes and any actions.
- Preparation of quarterly reports, Board Reports and Forward plans – using Word, PowerPoint, and Excel.
- General administration - expenses, resolving invoices, holiday tracking, handling post, call screening, answering emails where appropriate, stationery ordering, filing and other matters for the Directors and wider team.
- Working as a key member of the EA team, ensuring the highest standard of coordination and support within this community.
Your experience:
EA, PA, or Office Manager with experience of diary management, travel coordination and working with highly sensitive and confidential information. You will be comfortable and confident working with Leaders.
Your skills:
Excellent communication and stakeholder management skills with a can-do attitude. You will be organised with your time and your Leader’s time, and you understand the importance of prioritisation. You will be proficient in Microsoft Office and are comfortable working with other systems e.g., expenses and travel booking systems.
