Job description
We are looking for an enthusiastic, hardworking, and proactive Executive Assistant, to provide support to our Group Company Secretary and Legal team. This role is for 3 days a week (or equivalent). We would expect the successful candidate to spend at least 1 day a week in the office with more days preferred during busy periods.
This is a great opportunity to join an exciting area of the business, in a varied and challenging role, with interaction with stakeholders at all levels across the Group.
About the Team
The Company Secretary and Legal team is a very exciting place to work. We administer all of the UK based Board and Board Committee meetings and we oversee all commercial and corporate legal work across the Group. We work with every department, with people of all levels of seniority. We are required to keep a close and effective working relationship with all Group Board Directors as well as Admiral’s most senior managers. We are a well liked and respected team and we are very proud of the huge success we have had in recent years picking up many Top 10 victories, managers awards and other internal and external recognition. We are a fun and sociable team.
Key Duties and Responsibilities
- Provide full diary and administration support to Mike Rogers (Group Chair), Dan Caunt (Group Company Secretary and General Counsel) and Elena Servini (Group Head of Legal):
- Manage the diary autonomously, discussing priorities every week.
- Organise meetings and manage potential conflicts flexibly.
- Other administration tasks like arranging travel and accommodation when required, managing expenses, external providers invoicing, etc.
- Providing additional administrative support to the other Group Non-Executive Directors (NEDs) and to the other managers in the Group Company Secretary and Legal team.
- Liaising with all Group Board and Committee Members and attendees to set future dates/times for all meetings.
- Providing administrative support in arranging Board meetings (in advance and on the day) to include arranging catering, external venues and dinners, IT/Facilities support.
- Organise induction and onboarding for new team and NED joiners.
- Organisation of department training and department events (including regular team building activities).
- Coordinating Top 10 presentation.
- Room and parking bookings.
- Coordinating team and Board birthdays.
- Building strong relationships with other PAs/EAs of Admiral senior management and NEDs.
- Be prepared to challenge the status quo if needed and make suggestions for improvement.
Experience and Skills Required
- Excellent organisational and prioritisation skills.
- Experienced at supporting and communicating with senior individuals and external stakeholders, maintaining a professional manner at all times.
- Proactive approach to administration – spotting issues / problems before they arise, and anticipate opportunities to support the wider team.
- Able to identify issues quickly and come up with effective solutions.
- Flexibility to support the changing workload of the department and managers, and a willingness to work outside of core hours when necessary.
- High level of attention to detail and accuracy when producing work.
- Advanced knowledge of Microsoft Office.
- Confidentiality and discretion.
