Executive Assistant – Marsh Aviation – London – Maternity Cover – 12 month FTC

The role: Executive Assistant
- This Executive Assistant will be responsible for providing ongoing administrative and business support to all 30 strong Marsh Aviation colleagues in our London flagship office.
- The primary focus of the role will be to book trips (flights, hotels, etc.), manage visitors, arrange itineraries, pay expenses, take notes, book meeting rooms, etc.
- Please note that this is a 12 month (maternity cover) FTC to begin with and will be mainly office based (minimum 4 days per week) due to the collaborative nature of the work.
What can you expect?
- Support consultants and teams with all other ad hoc requests – data entry, record meeting notes, production of Management Information and Reports
- Support consultants with client engagement and booking meetings (both internal and external)
- Support the business with financial management activities e.g. invoicing
- Provide general business support at your specified Mercer location, or remotely to other locations as demand requires

We will rely on you to:
- Remain compliant with internal standards and policies when dealing with sensitive information by maintaining confidentiality at all times.
- Assists team with a variety of general administrative tasks as assigned; provides coverage for EAs who are out of the office to ensure seamless support to all senior level employees.
- Prepares responses to routine inquiries.
- Builds relationships with clients and client EAs; proactively spot clients that haven't been called upon and/or who need follow up.
- Maintains diaries for senior level employees; schedules internal and external meetings, communicates with clients and infrastructure staff as appropriate; coordinates travel and accommodations.
- Provides administrative information by answering questions and requests.
What you need to have:
- Previous EA/PA experience
- Previous experience working in a professional office environment ideally with FS/Insurance (although not mandatory).
- Advanced Outlook, Word, PowerPoint and Excel skills.
- The ability to work to deadlines and prioritise work.
- Able to deal with colleagues at different levels confidently
- Ability to communicate effectively
- Excellent organizational skills, with a very high degree of accuracy and attention to detail.
