The Role

As an Executive Assistant in London, you'll work closely with our Head of Global Sales on administrative duties, client relations, project management and facilitating communication internally and externally. This is a role based out of our new London office, working with a team of administrative professionals based in the US. Our perfect candidate is proactive, extremely organised, thrives in a fast-paced startup environment, can problem solve while under pressure and can build community in the London office while working across international time zones.

What You'll Do

  • Provide Executive Assistance for Addepar's Head of Global Sales - extensive external and internal calendaring across international time zones, point-to-point business travel, expenses and special projects.
  • Contribute to the excellent reputation of the company and the client-facing teams through professional, friendly and respectful interactions with all internal and external stakeholders.
  • Cultivate cross-functional relationships between departments and improve communication across teams.
  • Support the Addepar culture through in-office presence and team events, setting an example of work ethic and camaraderie.
  • Attend select team meetings (including occasional travel, i.e. visits to our New York office for off-sites) and stay informed - take notes, identify follow-ups and send reminders.
  • Work collaboratively with our US based Leadership Team and Administrative partners.
  • Create administrative efficiencies and find ways to improve processes.
  • Coordinate events, including internal team events and external client events.
  • Coordinate sophisticated travel using TripActions and complete regular expense reports.
  • Maintain impeccable standards of confidentiality and information security.
  • Communicate with internal teams to take action on projects from the Executive Office.
  • This role will be in-office in our London location.

Who You Are

  • You have a Bachelor's Degree, or equivalent work experience
  • You have at least 5+ years experience supporting executives, client facing or finance industry a plus!
  • Ability to waste no time and take charge of the position
  • Incredibly organised and thorough
  • Proactive and self-directed with an ability to take direction
  • Experience independently prioritising calendars and priorities
  • Ability to prioritise multiple assignments and change direction quickly
  • Strong communicator, both written and verbal, and a creative problem solver
  • Adept at working with different personality types and leadership styles
  • Successful working collaboratively with other Executive and Administrative Assistants, internally and externally
  • Ability to be on-call as needed, beyond standard business hours.
  • Very strong comprehension of Google Office Suite & Slack; Salesforce experience is a plus!
  • Google Slides or Powerpoint experience to refine & integrate existing presentations
