      Executive Assistant


      Here are some of the EXCITING things you'll get to do (RESPONSIBILITIES):


      • Provide extensive, complex diary and inbox management using own initiative to proactively identify and manage conflicts taking into considerations of the business demands and changing priorities.
      • Fully coordinate meetings ensuring the including preparing of agendas, papers, reports, and presentations as required.
      • Attend meetings when required, provide accurate minutes or action logs, and take ownership of following up outstanding actions as required.
      • Manage complex itineraries to include travel, accommodation, transfers and visa applications to Exec's requirements and preferences
      • Manage expenses for your Exec's in a timely and accurate manner.
      • Deputise for other EAs as and when required
      • Provide administrative support to wider Leadership team and business as and when required
      • Manage purchasing of supplies and Equipment for department or on occasion wider Regional Hub within policy and expense guidelines
      • Manage department records to ensure that documents and information can be quickly, effectively, discreetly and readily available when required through the maintenance of comprehensive filing systems including spreadsheets, databases and trackers
      • Event management for department. Ensuring all events meet the business requirements and fall within agreed budgets.
      • Produce written documents and internal communications with accuracy on behalf of your Exec and / or wider Leadership team
      • Co-ordinate group travel for department for events.
      • Coordinate the arrangements for visits by guests to the Regional Hub as required, including planning hospitality and travel

      ATTRIBUTES & SKILLS (REQUIREMENTS):

      • A can do approach, willing to take on any task that needs doing
      • Strong Microsoft skills including Word, Excel & Powerpoint
      • Excellent organisation skills, with a high degree of accuracy at a fast pace and an ability to prioritise an often-conflicting workload.
      • Ability to build and maintain strong and trusting relationships with stakeholders at all levels, both internally and externally
      • Demonstrate a high level of professionalism, confidentiality, and trust at all times.
      • Confident at making decisions, and challenging requests where necessary whilst Identifying risks or conflicts and developing solutions
      • Flexibility to occasionally work additional hours as necessary to fulfil the requirements of the role and meet the business needs
