Job description

This is an exciting time to join Ofgem and this role puts you at the heart of the organisation, providing a full range of executive support to the Director within the portfolio assigned. With exposure to a wide variety of projects and people, you’ll have plenty of opportunity to learn, grow and make the role your own.

Working closely with Private Secretaries and other EAs/PAs across the organisation, the EA should play a proactive role in ensuring the Director has everything they need for their days to run smoothly.

You’ll already be a confident PA/EA with a proven track record of working at Director/Deputy Director level, ensuring the allocation of a Director’s time is proactively managed, and aligns with strategic priorities. You’ll have the ability to multi-task and remain calm when working in a fast-paced environment, with a patient and logical approach to analysing information effectively to solve problems. With excellent attention to detail, you’ll have strong interpersonal skills with the ability to communicate confidently at all levels.

Job description

The Executive Assistant (EA) will manage the Director’s busy schedule and lead on a wide range of tasks that play an essential role in ensuring the smooth running of the Private Office and wider directorate. Working closely with Private Secretaries and other EAs/PAs across the organisation, the EA should play a proactive role in ensuring the Director has everything they need for their days to run smoothly.

The EA must be a team player with an ability to work flexibly across the organisation, prioritising and managing their own workload amid conflicting demands and busy work periods. Excellent judgement and discretion, and an ability to promote a positive image to both internal and external stakeholders, are essential.

Person specification

The essential criteria for this role is:

  • Confident PA/EA with a proven track record of working at Director/Deputy Director level, ensuring the allocation of a Director’s time is proactively managed, and aligns with strategic priorities. LEAD
  • Ability to multi-task and remain calm when working in a fast-paced environment, with a patient and logical approach to analysing information effectively to solve problems.
  • Exceptional attention to detail and organisational skills with proven ability to identify priorities and actions efficiently and effectively without supervision.
  • Strong interpersonal skills with the ability to communicate confidently at all levels and establish a strong rapport with senior leaders, both internally and externally, using diplomacy, tact and influencing.
  • Experience of dealing with matters of a highly confidential nature and acting appropriately.
  • Highly proficient with the MS Office suite, OneNote and document management.
