Wells Fargo is seeking an experienced client-facing Executive Assistant to join the team based in King William Street, London.
In this role, you will:
- Ownership for complex end-to-end global travel arrangements and effective coordination of itineraries, including; submission of travel pre-approval forms and coordinate any visa applications, COVID testing etc.;
- Travel bookings using online Concur travel booking tool, ensuring adherence to corporate travel policy at all times;
- Complex diary management for the senior business leaders; effective scheduling of meetings and activities as required;
- Inbox management for the heads of department, composing draft emails for executives/ managing responses & requests and system requests etc.;
- Perform proxy role for various systems and internal approvals;
- Liaise with clients and senior representatives at other advisers and our partner firms directly, building effective relationships with clients including their administrative support;
- Assist with presentations including typing, copying, binding, scanning etc. in addition to filing, faxing, scanning documents and couriering as required in a timely manner;
- Assisting with compiling data and filing reports, newsletters etc.;
- Answering and directing phone calls, visitors, and other internal team members; coordinating and supporting meeting setup and execution;
- Co-ordinate visitor schedules, reception and access requests
- Strategic administrative duties - proactively and strategically manage administrative issues ensuring a solution-orientated approach;
- Run and manage administrative projects and partner effectively as the regional administrative function as required;
- Partner with both local and regional support teams for any technology, facilities, or support needs that arise for the business;
- Support event planning teams and management for ad hoc events as required;
- Provide high level back up support for other administrative employees and EMEA/ International leaders as required;
- Represent the office with competence and professionalism;
- Operate at the highest standards of confidentiality, discretion and diplomacy;
- Use initiative to rapidly resolve general issues and queries in an efficient manner.
Required Qualifications, International:
- Previous Executive Administration experience supporting an executive level individual.
- Excellent organizational skills with the ability to multi task and use initiative.
- Ability to work under conflicting priorities and pressures; role often requires a high degree of flexibility and re-prioritization at short notice.
- Proven track record for consistently meeting and exceeding goals and delivering a superior level of job performance.
- Extensive experience to an advanced level of using all Microsoft Office applications e.g. PowerPoint for complex presentations, Outlook for managing multiple diaries, Excel and Word.
Job Expectations:
- Wells Fargo operates a Hybrid working model combining office and home working. The requirement is a minimum of 3 days in the office.
