Who are we looking for?
We are looking for an experienced, efficient & proactive Executive Assistant to join Volvo Trucks in Warwick.
As Executive Assistant, you will be responsible for a range of PA and senior support administration duties to the Managing Director and the Senior Management Team of Volvo Trucks.
Key Responsibilities
- Provide comprehensive and confidential administration support to Managing Director and Senior Management team
- Supporting the Managing Director with diary management, emails, meetings, hotel and travel arrangements
- Support Managing Director with Expatriation requirements.
- Support with Internal communications.
- Drafting, preparing, quality assuring briefing material and presentations for the MD in advance of meetings.
- Assist with internal and external customer event admin.
- Business Pack compilation and co-ordination
- Collate reports for MD on a regular basis as required
- Manage 1 to 1 meeting schedules and corresponding paperwork for MD
- Keeping and maintaining an accurate record of papers and electronic correspondence on behalf of the MD, preparing correspondence on behalf of the MD or other members of the Senior Management Team
- Reports / info consolidation from Dealers
- Strong interpersonal skills – including excellent written and oral communication
- Integrity and the ability to exercise discretion in dealing with confidential or sensitive matters
- Attention to detail
- Advanced skill in administrative duties with a methodical and organized approach
- Ability to efficiently manage own workload showing initiative
- Excellent IT skills to include Outlook, Word, Excel & Powerpoint
- Strong decision making and problem solving skills
- Flexibility and Energy
- Demonstrable experience in a similar role supporting senior members of staff to Director level
- Ability to deal with sensitive information and situations appropriately
- RSA level in word processing/typing or equivalent
- Advanced level in Microsoft Outlook/Word – with intermediate level for Powerpoint and Excel
