Executive Assistant
Location: Warwick
Salary: up to £40,000 depending on experience

We are looking for an enthusiastic Executive Assistant to support our Managing Director and play a vital role in our continued growth and success.

As an Executive Assistant at Volvo Bus, you will provide comprehensive PA support to our Managing Director, ensuring their time is optimised, and travel is efficiently managed. You will also extend your support to Volvo Bus Directors and the Service Delivery team. Your role will involve coordinating meetings, handling correspondence, managing events, preparing presentations, and assisting in various administrative tasks. This position requires a keen eye for detail, the ability to work under tight deadlines and excellent interpersonal skills.

The day-to-day:
  • Arrange meetings, hotels, conferences, events, and travel arrangements for the Managing Director.
  • Drafting, preparing, and quality-assuring briefing material and presentations for the MD in advance of meetings.
  • Manage Volvo Bus events in the UK and overseas from fundraising events team team-building days to awards and conferences.
  • Collaborate closely with Marketing Team
  • Support customer, industry, and internal events and exhibitions, including registration and hosting.
  • Collate reports for MD on a regular basis as required
  • Provide PA and secretarial support to Volvo Bus Directors.
  • Offer secretarial and administrative support for the Service Delivery team, including handling purchase orders, invoices, and customer complaints.
  • Handle sensitive information and situations with utmost confidentiality.
Key Skills and Competencies:
  • Strong interpersonal skills with excellent written and oral communication.
  • Event management experience.
  • Ability to plan, prioritise, and work effectively under tight deadlines.
  • Strong decision-making and problem-solving skills.
  • Determined and positive attitude.
  • Experience in a similar role supporting senior staff to Director level.
  • GCSE English/Maths at standard or higher.
  • Excellent IT skills, including Outlook, Word, Excel, and PowerPoint.
  • RSA Level in word processing/typing or equivalent.
