Executive Assistant
Location: Newcastle Upon Tyne, NE12 8BU
Full Time
Salary: £30,000 - £35,000, DOE
Working Hours: 40hrs between Mon – Fri
Holidays: 21 days plus bank holidays
We have an excellent opportunity for an experienced Executive Assistant to join our fast-paced Newcastle Team. This newly created role will focus on assisting the Operations Director. The successful candidate will support them with a variety of administrative activities in a very dynamic working environment.
We’re looking for a motivated Executive Assistant, who is passionate and committed to making the difference, and with a great attention to detail and outstanding sense of confidentiality.
What we need you for:
As the Executive Assistant to our UK Chief Operating Officer, you will play a pivotal role in ensuring the smooth and efficient operation of our organization. Your responsibilities will include:
Strategic Support: Provide high-level administrative and strategic support to the UK COO, helping them manage their time, priorities, and tasks effectively.
Calendar Management: Efficiently manage the COO's calendar, including scheduling meetings, appointments, and coordinating travel arrangements.
Communication: Serve as a gatekeeper and the first point of contact between the COO and internal/external stakeholders, ensuring clear and professional communication.
Documentation: Prepare and review documents, reports, presentations, and correspondence, ensuring accuracy and confidentiality.
Meeting Coordination: Organize and coordinate meetings, including preparing agendas, taking minutes, and following up on action items.
Project Support: Assist in managing key projects, tracking progress, and liaising with cross-functional teams to ensure deadlines are met.
Travel and Expense Management: Handle travel arrangements, accommodations, and expense reports efficiently and cost-effectively.
What you need to know:
To excel in this role, you should possess the following qualifications and skills:
Experience: Proven experience as an Executive Assistant or in a similar role, ideally supporting senior executives.
Organization: Exceptional organizational and multitasking abilities to manage complex schedules and tasks effectively.
Communication: Excellent verbal and written communication skills, including professional email etiquette.
Tech-Savvy: Proficiency in MS Office Suite (Word, Excel, PowerPoint) and the ability to adapt to new software and tools quickly.
Discretion: High level of integrity and the ability to handle sensitive and confidential information with discretion.
Initiative: Proactive and self-motivated with the ability to anticipate the needs of the COO and take initiative.

Specification:
Educated to degree level desired
Minimum 2/5 years EA experience
Excellent proficiency of MS Office
Excellent time management skills
