Role Purpose:
The main purpose of this role is to assist the company in achieving its strategic objectives by taking ownership of a variety of administrative and business essential tasks, supporting the wider team on strategic projects and dealing with ad-hoc requests from direct managers.
About you:
● 2-5 years experience as an Executive Assistant or Office Manager
● A proactive individual with a keen eye for detail.
● Can-do attitude with a willingness to take on new challenges.
● Organised and able to prioritise workload in relation to the demands of the business.
● Experience working closely with managers and being able to deliver work without supervision.
● Experience in using and administration in Microsoft Office, G-Suite or similar software.
● Effective written communication with colleagues and external suppliers in order to achieve positive outcomes.
● Effective diary management skills and forward planning up to one year in advance.
● A professional and friendly demeanour towards colleagues, clients and external parties.
Key responsibilities:
● Managing the implementation, renewal and administration of core business essentials such as business insurance, G-Suite and compliance schemes.
● Monitor the running of contracts, preparing for their expiry dates and renewing as appropriate.
● Support on strategic projects where required by management, tasks could include creating action plans, carrying out research and compiling reports.
● Organise, prepare agendas and minute important meetings, including a weekly
Senior Management meeting.
● Oversee the administration of the company’s HR system and update them according to any changes or updates implemented.
● Engage with senior management to administer recruitment, including posting job adverts, arranging interviews and issuing employment contracts to candidates.
● Liaise with managers about project updates and progress against agreed targets, relay this information to the CEO and offer support on projects where necessary in order to help teams adhere to targets and deadlines.
● Support managers in the preparation of reports, letters and presentations using a range of resources including Canva and G-Suite.
● Monitor Health and Safety compliance and work with the Operations Manager to implement the correct procedures.
● Assist in managing office supplies including purchasing kitchen supplies, monitoring stationary and hardware in the office.
● Keeping on top of housekeeping by communicating with the cleaners and ensuring meeting rooms are prepared for use.
Desirable but not essential:
● Experience in a start-up environment.
● Bachelor's degree (in any discipline) or other professional qualifaction.
● Some legal experience in any capacity.
● Previous experience in an Office Manager or Executive Assistant role.
