About the Role… Location: Office Based at The Brainworks, Royds Close, Leeds, LS12 6LL Working Hours: Monday to Friday, 13:30PM - 10:00 PM, 37.5 hours per week. Our CEO is at the forefront of our mission, and we're seeking an Executive Assistant who can provide invaluable support to ensure their success. In addition to assisting the CEO, this role also includes providing reception support during afternoon and evening hours at our Leeds Office. As the Executive Assistant, you will play a crucial role in managing the CEO's schedule, coordinating meetings, and handling various administrative tasks. Simultaneously, you'll greet visitors, answer calls, and ensure a smooth flow of operations at our office. You’ll also provide holiday cover to our full-time reception lead, who typically works between 9am and 5pm, adjusting your hours over this period to provide cover during the core hours. The 13:30pm to 10.00pm shift aligns with the CEO’s working hours (who is based in Miami), and also supports in the responsibility of closing and securing the brainworks at the end of the working day (10pm). Key Responsibilities: Executive Assistant: Manage the CEO's complex and ever-changing calendar, scheduling meetings, appointments, and travel arrangements. Along with effective diary management, you will also manage the CEO’s inbox. Prepare documents, presentations, and reports as requested by the CEO. Act as the primary point of contact between the CEO and internal/external stakeholders. Handle confidential information with the utmost discretion and professionalism. Anticipate the needs of the CEO and proactively address them. Conduct research and compile information as required. Prioritise and manage multiple tasks and projects efficiently. Attend all required meetings, including senior management and board level meetings, taking notes, and distributing follow up actions. You will also ensure these are completed in line with the defined deadlines. Assist with ad-hoc projects and tasks as assigned by the CEO, and other executive assistant duties for senior positions within the organisation, as required. Reception Support: Working alongside our Facilities Manager, who covers reception during the core hours, you will support in the completion of facility related tasks. This will include building walk-arounds, fire-walks, and the opening/ closure of the building ensuring it is secure. You will also undertake Reception based activities including: Greet visitors in a warm and professional manner, answering and direct incoming calls to the appropriate department or individual. Maintain a clean and organised reception area, and facility overall. Handle incoming and outgoing mail and packages. Assist with general administrative tasks to support the smooth operation of the office. Manage office supplies and inventory as needed. About You… Proven experience as an executive assistant or in a similar role would be advantageous. Exceptional organisational and time-management skills. Strong communication and interpersonal abilities. Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). The ability to ensure discretion and confidentiality is paramount. Ability to adapt to changing priorities and thrive in a fast-paced environment. Previous reception and administrative experience are a plus. Why work for us?
