Test Labs are looking for an Executive Assistant to join our Research and Development team. This role will be successful in its delivery with attendance to our research and design facilities in Peterborough.

What do we do?
A one of a kind, UKAS Accredited testing facility, Test Labs provides decontamination tests for all products and equipment used in healthcare settings. Working alongside healthcare professionals and analysing the industry, with the support of a team of scientists and custom-built facilities, we’re harnessing our acquired knowledge to research infection prevention and control questions.
What are we looking for in this position?
To aid the business, providing administrative support to the managing director of Test Labs, being involved in a wide variety of tasks in order to support the delivery of key objectives. This role will also include liaising and supporting a number of internal and external stakeholders, this role requires agility in the work that they do.
What will you do?
- Build relationships with key stakeholders and organisations.
- Effectively manage and schedule the diary and travel requirements for the managing director.
- Work closely with the team to ensure all tasks meet objectives set and are scheduled appropriately.
- Coordinate executive communications, taking calls, responding to emails, and interfacing with relevant stakeholders.
- Manage the managing director’s inbox ensuring it is kept clear and emails and communications are dealt in a timely manner.
- Act as an internal representative in the absence of the managing director, supporting the team to progress objectives
- Support in the project planning process to include active communication with others to acquire relevant supporting information
- Document actions arising from meetings attended.
- Plan and keep track of ongoing projects throughout the month.
- Allocate resource and time to follow up actions arising from meetings attended, ensuring deadlines are met.
- Maintain the document file structure for the department.
- Adherence to the company management systems and QHSES responsibilities as defined within the ‘overview and context of the organisation’ document.
What will you need to have and do?

- Any science or research qualification/background would be beneficial

As an Executive Assistant, you play a direct role in saving the lives of our patients each day by serving our residents in a safe environment promoting long term recovery. You will partner with the Executive Director and Executive Secretary to establish and maintain a therapeutic environment and routine for our residents.
Requirements:
- Bachelor’s degree in human services or related field required; Master’s degree preferred.
- Previous experience with administrative/office experience; experience in management skills required.
- COVID –19 Vaccination approved exemption status
Responsibilities:
- Full time position – working 40+ hours per week.
- Assist in daily operations of the office including but not limited to: S -S-C (Schedule, Correspondence, Calendar, etc.)
- Maintain organizational resources including HR, Secretarial, Medical and Administrative Assistant.
- Maintain office filing system using electronic systems such as: Google Suite, Microsoft Suite, ProCite (preferred), Dropbox.
- Provide support and assistance to the Executive Director and Executive Secretary.
- Develop and maintain relationships with referral sources including physician’s offices, community resources, etc..
- Receive and distribute daily paperwork to departments accordingly.
- Coordinate with Clinical Director regarding clinical aspects of patients’ medication regiments.
Job Type: Full-time
Salary: £28,000.00-£33,000.00 per year
