Executive Assistant to Director
Job Responsibilities:
- Provide a full spectrum of secretarial and administrative support to Director in both business activities and personal matter
- Providing administrative support including sorting incoming correspondence, reconciliation and processing of monthly statements, and arranging internal and external meetings and functions when required
- Undertake ad-hoc projects as assigned from time to time.
- Travel management - to many of our offices across 34 countries requiring booking of international travel across multiple time zones - flights, trains, visas, hotels, transfers to and from the airport and car parking.
- Liaising with Main and Executive Board members, investors, clients and colleagues at all levels building relationships with them and their EAs/PAs over the phone, in person and via email.
- Typing dictated notes/emails.
Job Requirements:
- At least 5 years’ experience in Secretary / Personal Assistant
- Willing to travel about 80/20 ratio
- University educated
- Good command of English
- Mandarin is a extra advantage
- Solid experience in translation
- Strong coordination, communication, excellent representational and interpersonal skills, able to work independently and a good team player
- Ability to multi-task and work with strict deadlines, under high-pressure situations, and remain calm in stressful situations; ability to prioritise and adjust with change
- Keen attention to detail, be highly organised, and have strong follow-up
- Excellent time management, detail-minded in organsing business work schedules and completing tasks efficiently, mature and trust worthy
- Ability to manage sensitive and confidential information with discretion and diplomacy
- Immediate available is highly preferred
- Ability to keep to deadlines.
- Advanced MS Office experience.
- Strong interpersonal skills, with an innate ability to develop effective relationships with a broad and diverse network.
