What we are looking for:
This position directly supports the company’s COO (Janet Adams) as her executive assistant. Additionally the candidate will perform more general administrative tasks as directed by the VP of Operations, such as supporting the collection of monthly reporting information from team leaders, organising events and meetups, and monitoring adherence to new policies.
The right candidate will be able to balance various workloads each week, work independently at times, and be reliable with good attention to detail. The position requires good organization skills and ideally, a love of communications, as a key part of the role will be supporting Janet Adams with organising various conference talks and online podcasts participation. Any interest in new technologies and/or artificial intelligence would be a really lovely bonus to have but not essential. Commitment to reliably getting the job done efficiently and effectively in a timely manner is super important. Time flexibility is highly requested for this position.
The role will start off working remotely with occasional face to face meetings.
Your responsibilities will include:
- Agenda & calendar management
- Coordinate travel arrangements
- Expense reporting
- Meeting preparation, scheduling, and management
- Occasionally may be asked to record or transcribe notes from meetings
- Provide general administrative support
- Event planning and coordination as needed
- For example: coordinating times for podcasts, travel to and organizing briefings for conferences and other public engagements. Including supporting PR events when required.
- Other duties as assigned.
Requirements:
- 2-4 years of experience as a personal or executive assistant.
- A kind personality and general friendly attitude in dealing with the organization’s other staff, and also especially with external partners and customers
- The person would be relatively tech savvy and have experience with Zoom and G-Suite and using Google applications such as Gmail, Google Calendar, Google Drive, Google Docs and Google Sheets
- Organized, detail-oriented and proactive.
- Flexibility and ability to work different time zones and with different cultures
