The purpose of the role is to provide professional & operational administrative support to the Managing Director & Finance Director of Rail Infrastructure – Siemens Mobility Limited.
The role will be based remotely but travel into London and Chippenham will be required so candidates must be willing and able to travel.
What are my responsibilities?
- Work directly for both Directors to support their daily work routine: Plan and review the Director’s commitments and reporting schedules to assist Director in meeting internal and external commitments, as well as delivery of goals and initiatives.
- Diary management: setting up internal & external meetings and visits, incl. preparatory materials, and take minutes as required, cascade and chase actions where appropriate, ensuring relevant attendance; including organizing all travel arrangements, including the necessary approvals and assessments. Exercise Discretion in committing time and evaluating needs.
- Prepare presentations and reports targeted at a variety of audiences, e.g. customers, employees, senior management, key stakeholders etc., ensuring necessary quality achieved every time
- Compile reports and liaise directly with contributors to ensure timely submission
- Complete routine administration such as managing expense claims and approvals on behalf of Directors, maintaining timesheets for Directors and – where required – their leadership tea, & implementing and managing processes in line with company policies and directives Review incoming email / correspondence and where appropriate action independently
- Ad hoc project work and tasks requiring research and data collection
- Professionally expedite delegated actions from Director
- Maintain filing systems and controlled documents
- Interface and communicate with internal senior management, senior client representatives and other stakeholders on behalf of Director & provide support to other Directors and Senior Management as required
- Establish good working relationships with other Executive & Personal Assistants internally and externally, as well as the wider Siemens Admin Team, supporting where required
- Organise periodic events
What do I need to qualify for this job?
- Recent experience supporting at Executive/Director level (essential)
- High integrity, with the ability to work with complete confidentiality (essential)
- Proactive and able to work under pressure, as well as prioritise with minimal supervision (essential)
- Excellent organisational skills and professional working style, with advanced Microsoft Office skills, and excellent attention to detail (essential)
- Good interpersonal skills, and a strong communicator confident engaging at all levels (essential)
- A team player, flexible in approach and attitude, able to establish and maintain positive working relationships (essential)
- Assertive and deadline driven (essential)
