We’re looking for a highly motivated and organised Executive Assistant, within this role you will be responsible for:
- Diary Support - Scanning of email, identifying regular tasks, creating standard agendas, etc.
- Meeting and Training Planning
- Training delivery to clients via Teams or Zoom on ShinyMind CMS system to multiple different customer groups.
- Tech support on Teams and Zoom for virtual programmes delivered - Provides scheduling support and attends/sets up calls as required.
- Customer Relationships – Develop and manage relationships with customers.
- CMS Management – Understanding the CMS system and how the App works so you can onboard new customers and solve and answer customer questions.
- Communications - Prepare draft proposals and presentations with direction from the team and/or support from others; document production and formatting; brand compliance; proof reading, grammar, and spelling.
- Programme coordination including scheduling welcome packs and subsequent communications.
- Shared inbox management of multiple inboxes – including answering customer queries in a timely manner.
- Administration - Assist with miscellaneous complex administrative tasks which will include, answering the phone, administration of shared mailboxes, voicemail/email, distribution lists, office/meeting room bookings and purchasing of items.
We are looking for experience in the following skills:
- Ability to multitask accurately and effectively
- Strong Diary Management
- Excellent verbal and written English
- Excellent customer service skills
- IT and Microsoft Office skills (Word, Excel, PowerPoint, Outlook)
- Effective team player, flexible but with the ability to work independently
- Excellent organisational skills and ability to prioritise effectively
- Strong interpersonal skills with confidence to interact with people at all levels
- Ability to work within deadlines
- High level of accuracy
- Pro-active, display initiative and work well under pressure
- Experience working in a similar role
- Passion for high performance
Nice-to-Haves:
Experience working with several computer programmes is preferrable but not necessary including:
- Teams
- Zoom
- Mandrill
- Mailchimp
- Survey Monkey
