WHAT YOU'LL DO
-Provide high-level EA services to both co-founders and the MD – managing diaries, monitoring and managing email inboxes, social media/LinkedIn, arranging internal/external meetings and preparing necessary info/documentation, acting as point of contact for clients and staff, creating and booking complex travel itineraries, maintaining confidentiality throughout. Provide support with the occasional personal request as and when required.
-Accurately manage book-keeping and Xero for the organisation including invoicing, RFD claim, reconciliation, expense management, bill payments, reporting, budgeting, preparing month/quarter/year end and VAT returns etc utilising Shine’s Xero accounting software. Liaise closely with the Senior team and Shine’s accountant on all financial aspects. Support the client director in raising and chasing invoices.
-Create and manage all support systems that enhance team effectiveness e.g. shared filing systems, calendars, databases, Sharepoint etc.
-Ownership of insurance documents and management of licenses, ensuring all managed in a timely manner
-Be the ‘go to’ Shine IT hero – proficient in Macs, phones, Microsoft, Zoom, Google, security etc. Procure hardware and maintain subscriptions as requested. Liaise with IT company on all IT requests and update master records as appropriate.
-Support the Co-Founders and other team members in all administrative and operational aspects of the business as required. Set up team days and support with catering. Maintain an overview of the whole organisation’s workings and proactively jump in to assist or challenge.
-Support with in-person courses where needed – particularly logistical arrangements at Rhode Hill House, Shine’s HQ in Lyme Regis Dorset
-Support on getting the administrative elements of client programmes ready: requires high attention to detail on Excel timelines and PPT slides
Note: we all work remotely, but the job will involve some travel back and forth to our HQ in Lyme Regis when we have on-site courses or in-person HQ meetings. This is usually c.2/month
WHAT MAKES A GREAT CANDIDAT
-Highly IT proficient – Macs, Microsoft, Xero, Google, Zoom etc.
