Position: Executive Assistant
Reporting To: Managing Director
Location: Head Office, Lockerbie
Contract: Full Time, Permanent
Salary: Competitive
Hours of Work: Monday-Thursday, 8.00am-4.45pm and Friday, 8.00am-3.00pm
PURPOSE OF THE ROLE
We are currently seeking to recruit an Executive Assistant who will support our company’s directors with day-to-day activities, assisting them with administrative tasks to help the Director’s manage their time effectively. The ideal candidate should have great time management skills, be well-organised and be able to act without guidance.
DUTIES & RESPONSIBILITIES
The key duties and responsibilities of this position include, but are not limited to:
- Directly manage individual employees and teams, including annual review meetings.
- Act as a point of contact with employees and external parties for the Directors.
- Manage the Director’s calendars, creating and managing appointments.
- Assist with Director’s emails, distributing and replaying as necessary, as well as managing own emails.
- Answer and manage telephone calls, covering the Director’s phones when necessary.
- Collate information for internal and external correspondence via email.
- Manage travel and accommodation arrangements for the Directors where necessary.
- Take notes, minute meetings and distribute where necessary.
- Setting reminders for meetings, appointments and other important tasks as required.
- Comply with the company’s policies & procedures and Health & Safety regulations.
- Undertake additional duties as and when required.
PERSON SPECIFICATION
Essential Criteria:
- Knowledge of Microsoft Office e.g Word & Excel.
- Excellent organisation and people management skills.
- Previous experience working within a similar role.
- Excellent attention to detail.
Desirable Criteria:
- Have a relevant administration qualification.
- Previous line management experience.
