The Recruitment Bunker are recruiting exclusively for an Executive Assistant for a leading privately owned collection of diverse and dynamic forward-thinking companies based in Perth. The Executive Assistant will be responsible for managing the schedules and communications of the directors within the business.
As an Executive Assistant your responsibilities will include managing calendars, making travel arrangements, and preparing for board reviews amongst many other supporting and administrative tasks. To be successful in this role, you should be confident and able to build great relationships, be well-organised, have great time management skills and the ability to act without guidance.
Ultimately, you will contribute to the efficiency of the business by providing personalised and timely support to executive members and will be the key point of contact amongst executives, employees, clients, and other external partners.

Responsibilities
- Act as the point of contact among executives, employees, clients, and other external partners
- Manage information flow in a timely and accurate manner
- Diary management & scheduling meetings
- Folder management & Filing systems
- Maintain confidentiality of highly sensitive information
- Booking travel arrangements both national and international; Prepare itineraries; Submit Expenses
- Arranging hotel and travel accommodation and car hire as requested
- Using a high standard of verbal and written communication skills professionally respond to correspondence promptly and efficiently using Microsoft Office suite.
- Assisting with preparation of reports in line with deadlines and general administrative support
- Reviewing legal documents
- Quick and accurate minute taking
- Maintain Office budgets; raise Purchase Orders for office and kitchen supplies as required
- All aspects of Facilities management to a high standard include liaising with all third-party contractors and suppliers where requested
- Meet and greet key visitors in a friendly, presentable, and professional manner
- Limited travel may be involved.
Essential Skills
- Proven experience of working as an Executive Assistant, Personal Assistant, or similar role
- Excellent MS Office knowledge
- Outstanding organisational and time management skills
- Familiarity with office gadgets and applications (e.g., e-calendars and copy machines)
- Excellent verbal and written communications skills
- Be an Enthusiastic and driven individual who is highly confident and assertive
- Possess strong administrative and organisational skills with good attention to detail
- Be consistently professional, trustworthy, confident, and calm even in challenging situations
- Experience analysing and reviewing legal contracts and supporting group administrative tasks where requested
- Discretion and confidentiality and ability to deal with sensitive information.
