Overview
The Executive Assistant will report directly to the CEO and is a high-impact role in supporting the efficiency and productivity of the CEO and executive team, and as a result, the success of an exciting, fast-moving company entering a phase of significant growth. A diverse role, the Executive Assistant will help the CEO (and the Executive team) with tasks such as arranging travel, arranging and facilitating meetings, diary scheduling; reviewing, prioritising and responding to emails and phone calls; organising and maintaining online document repositories; taking notes and communicating minutes from meetings and any other among other administrative tasks that help the executive perform their jobs.
Key tasks
Support the CEO
- Provide seamless, executive level support to the CEO and to the executive team as required
- Coordination of confidential calendars, inboxes, and travel management
- All correspondence and requests to effectively utilise the CEO’s time
- Meetings and events are proactively and proficiently scheduled and facilitated as required
- Assist as required on high-level projects and various administrative tasks
- Ensure CEO is fully prepared for all meetings and appointments
Support the Executive team
- Coordination of confidential calendars, inboxes, and travel management
- Assist as required on high-level projects and various administrative tasks
Manage the admin team
- Day to day line management of two Admin Assistants
- Ensure the efficient running of the Cambridge and Sedgefield office
Other
- Collects and prepares information for use in discussions/meeting of executive staff and outside individuals
- Prepares presentation materials for meetings
- Makes high-level contact of a sensitive nature inside and outside the company
- Works on problems of diverse scope
- Exercises judgement within generally defined practices and policies for obtaining solutions
Qualifications and training
- Previous experience of working as an Executive Assistant at C-Suite level
- Fully proficient with Microsoft 365 suite
- Degree or postgraduate qualification – advantageous

- Experience in supporting external stakeholder engagement - including but not limited to customers, vendors, visitors and other dignitaries
