Purpose of the Role:
To ensure the Senior Leadership team at Phase 3 are engaged in activity which is pursuant to the objectives of the company by ensuring effective diary management, ensuring high quality communications to clients and suppliers alike and ensuring all internal leadership activities are prepared in advance of any meetings.
Key Responsibilities:
- Act as the gatekeeper for Senior Leaders of Phase 3, ensuring the most effective use of the Senior Leaders time
- Effective diary management, ensuring adequate time is allocated to deliver Phase 3 core activities
- Ensure all contacts receive high quality and timely responses
- Ensure prioritisation of activity for senior managers is undertaken and time allocated accordingly
- Engage with the wider Phase 3 team to reduce direct contact for senior management wherever possible
- Support the senior management by preparing all business correspondence
- Attend all leadership and management meetings, taking minutes and logging actions
- Take responsibility for ensuring meeting outcomes are communicated to delegates and are delivered by the dates agreed
- Manage projects on behalf of the senior management team and ensure projects are delivered effectively and on time
- Identify all cost saving opportunities for Phase 3 and act on those accordingly
- Take responsibility for supporting the planning all Phase 3 internal events, ensuring relevant internal stakeholders are aware of their roles in events
- Support the delivery of all internal events
- Ensure event materials are fit for purpose and follow the Phase 3 brand
- Support marketing and publicity activity as directed and ensure adequate time is allocated to senior management for their own activity to be planned and delivered
Essential Requirements:
- Experience of working with stakeholders at all levels of the organisation
- Experience of being an EA with company directors
- Significant experience with prioritising workloads of self and others
- High level of experience in project management
- High level of communication skills, both verbal and non-verbal
- Experience of office management
