About the team
The Schools team is made up of Assessment, Delivery, Operations, Product Management, Qualifications, UK and International Sales and Marketing. We aim to deliver qualifications and digital product and services to schools both UK based and Internationally.
About the job
You will provide full executive support to a member of the School Assessment and Qualifications Executive Leadership team.
Key Responsibilities
- Managing complex business diaries for VPs and SVP, including the organisation of itineraries, acting quickly to short notice changes, rescheduling and cancellation of appointments with tact.
- Arrange and manage meetings taking minutes/actions if required for both internal and external events.
- Coordinate and plan trips, including arranging appropriate travel, visas, agendas and necessary contacts, country information, and other necessary preparations.
- Project management support as required for VP’s and above.
- Management and organisation of celebratory events as well as other ad hoc events. Support at the annual Schools Sales conference where appropriate. Ensuring that feedback from attendees is sought and incorporated into future events.
- Co-ordinating communications to the Business units to ensure the maximisation of staff engagement, utilising the divisional Sharepoint groups and other communication channels for VPs/SVP.
- Forming productive working relationships with members of the Executive Team including their assistants, assisting with queries, problems and ensuring swift resolution.
- Organising and over-seeing office moves and other ad hoc business unit administration for VP/SVP.
- Ensuring the efficient running of the VP/SVP desk, including managing team leave requests, expense claims, budgetary information, and requisitions.
- Working closely with Talent Acquisition in the co-ordination of recruitment activities.
To be successful in the role you will need:
- To be able to deliver first class executive support and work effectively as part of a team
- A proven track record as an Executive Assistant supporting senior leaders in a global organisation
- To be comfortable with decision-making, accountability and be truly proactive
- To be solutions orientated, always striving for results that are cost-effective and a good use of your manager’s time.
- Focus on what your manager needs, and the ability to say no to support that.
- To demonstrate an ability to communicate clearly both verbally and in writing
- Be highly organised and can prioritise your own workload
- In-depth knowledge of Microsoft Office, to include Outlook, Sharepoint, Teams
