Location: Sandford Gate, Oxford (Hybrid working 2-3 days per week)
About the role:
Working closely as part of a team to provide seamless and effective Personal Assistant support to the Executive Team of the Trust ensuring requirements are met. This pivotal and varied role is a key point of contact, so you will need to be comfortable in dealing with all types of people, being adaptable is key. Working closely to support multiple Directors your work will be aimed at delivering the highest quality service ensuring effective organisation, co-ordination and flow of information to the right people at the right time. This role will carry out tasks with work priorities and general instructions. This role requires the use of sensible strong judgement in selecting and applying established procedures correctly, relying on the support of the team if necessary and determining when to escalate problems to the manager. This role will add value to the Trust by assisting with administration and more technical tasks, whilst managing demanding and changeable deadlines simultaneously enabling the Director to focus on more strategic matters. The outputs of this role will demonstrate and maintain the high standards of work expected throughout the Trust.
About you:
- Work closely with the Exec Support Team to provide effective support to multiple Directors and the team during absence or peak workloads.
- Manage and maintain multiple complex and high-volume Inboxes and Calendars within agreed parameters for Directors.
- Coordinate and book travel, accommodation and associated requirements, and ensure logistical arrangements are in place to meet those requirements.
- Schedule internal and external meetings/events of varying sizes for Directors (including appraisals, team meetings and joint venture meetings and attend where required to provide support at/on regular meetings/calls; minutes, agendas, action-taking and monitoring these.
- Prepare appropriate materials/briefing packs ahead of meetings using a bring forward system and filing of paper and digital documents.
- Organise and submit expenses and credit card statements and assist Directors with other responsibilities.
- Handle all incoming and outgoing post, prepare or update meeting notes, PowerPoint presentations and ad hoc administration of paperwork.
