ABOUT THE OPPORTUNITY:

We are looking for a highly motivated individual to support members of our Senior Leadership Team through confidential assistant services and administration across a broad range of business requirements including; Director diary management, travel co-ordination, corporate event planning, and creative content design for internal and external stakeholders presentations, videos and communication.


The successful candidate will be confidential, highly organised, great at communicating at all levels both internally and externally, passionate about planning and delivering events, enjoys designing fun and creative content for presentations and company communications, and loves working independently as well as alongside our other Executive Assistants to ensure all administrative tasks are completed efficiently and effectively.


YOUR ROLE WILL INCLUDE:

  • Confidential support to Directors and senior managers where appropriate
  • Proactively manage and maintain Director’s calendars, scheduling appointments, meetings, and travel arrangements efficiently
  • Coordinate and prioritise meetings and events, ensuring appropriate resources are available and all necessary documentation is prepared in advance.
  • Proactively liaise with stakeholders across the business to advise of deadlines for reports, actions, meetings and submissions, obtaining and collating materials ahead of meetings
  • Coordinate and deliver corporate events including creating or refining content, managing budgets, and making all necessary room, travel and accommodation bookings where required
  • Creating and refining presentations and company communications ensuring content reflects Company branding and tone
  • Preparing and collating reports, taking and distributing minutes/action points ensuring all materials are thoroughly proof read and accurate
  • Ensuring invoices are raised and paid in accordance with payment cycles
  • General administration duties including writing letters, scanning, binding, and any other duties as required
  • Media / Charity request co-ordination
  • Ownership alongside other EAs’ of stationary ordering for Head Office


YOU WILL HAVE EXPERIENCE IN:

  • Previous role undertaking Executive assistant duties at Director level ensuring confidentiality and discretion is maintained at all times
  • Working across a broad range of activities, prioritising tasks, meeting deadlines all within a fast paced environment
  • Event project management
  • Designing presentations, videos and communication content
  • Minute taking, proofreading and editing abilities
  • Using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) to an advanced level and competent with video editing software
  • Proven track record of working with stakeholders across multiple business areas, building effective relationships
