Role: Executive Assistant Reporting to: CEO
Working hours: Minimum 25 hours per week
Shift Pattern: Partial autonomy given to successful candidate on working patterns.
Location: Predominantly Home based with occasional travel to our new Head Office in the Midlands.
Role Summary
This position presents a great opportunity for an experienced board level executive assistant that has the willingness to work autonomously, demonstrate flexibility and carry a ‘think outside of the box’ attitude, with a ‘happy to help’ persona.
This position offers flexibility in working patterns to support work-life balance. With a minimum 25hr working week, there is considerable flexibility to work out a mutually acceptable working pattern, under the proviso that all job requirements are met in the times required.
This position offers a remuneration rate equivalent to £17.00 with any additional hours worked up to 40hrs per week paying at overtime rate.
The successful candidate will receive 28 days holiday (pro-rata) plus statutory holiday entitlement with 3 days reserved for Christmas.
The successful candidate will be predominantly home based with the occasional requirement to visit our new Head Office in the Midlands. Attendance at Mpac Group events may also be required.
Main Purpose of Role
To provide a comprehensive and confidential service to the Board of Directors and senior management team including operational support, scheduling meetings, managing travel and diary administration.
Duties include but not exhaustive to:
- Pro-actively manage diary, schedule and calendar for CEO
- Organise and schedule meetings with the Executive Leadership Teams
- Liaise with Non-Executive Directors to schedule board meetings and travel requirements
- Act as point of contact for all travel requests and manage / book all travel
- Completion of expenses for senior staff
- Take ownership of the HO email address and filter general information, queries and invitations as appropriate
- Support in preparation of presentations for Leadership Teams and Board Meetings
- Support to the Company Secretary in the administration activities associated with the Board, organising meetings, travel, paperwork, minutes, follow up on actions
- Assist in the preparation, collation and distribution of board papers
- Manage the Board and Executive committee news flow to the wider group
- To provide confidential secretarial support
- Act as lead to organise Leadership Team, Mpac Leadership Academy and Sales Conferences as and when required
- Lead on managing investor relations meetings, coordinating with 3rd parties as required
- Complete ad hoc duties and tasks as required.
Requirements:
- Have worked in an Executive Assistant role previously, supporting at Board level
- Confidently manage relationships with key stakeholders, both internally and externally
- Ability to multitask and prioritise an everchanging workload
- Be confident in managing / coordinating complex travel itineraries, including all transport and accommodation
- Flexibility to respond to unforeseen situations
- Ability to work with confidential material
- Strong IT skills including Word, Excel, PowerPoint and Teams
- Must be able to work on own initiative with minimal supervision
- Have excellent organisational skills and attention to detail.
