What is the role?

You will act as executive assistant to the CEO of mirus and Chair of the Board of Trustees, providing comprehensive administrative and secretarial support. You'll support the Chair, Company Secretary and CEO of mirus in effective and proactive engagement with the Board.

Who are we looking for?

  • Strong, proven experience as a successful EA
  • Excellent organisational skills including the ability to manage time and prioritise effectively.
  • Experience supporting more than one senior level leader.
  • Strong experience planning and delivering meetings and events.
  • Able to independently plan and manage own work, outcomes and deliverables.
  • Strong record of producing results and completing tasks within a given timeframe.
  • Happy to be flexible to support Board at occasional late meetings.
  • Discretion, emotional intelligence and a positive, flexible approach are key.
  • Proven ability to produce high quality, accurate work in a timely manner.
  • Proven ability to manage conflicting demands whilst meeting deadlines and maintaining professionalism.
  • Excellent Microsoft Office skills, particularly in Word, Excel, PowerPoint, Outlook, Teams and SharePoint.
  • Dependable, results oriented and committed to achieving objectives and tasks as required.
  • Thorough understanding of the need for discretion and respecting confidentiality. The ability to manage sensitive information appropriately is essential.
  • Ability to work independently and proactively.
  • Customer-focused; able to build relationships and communicate in a clear and fluent way, adapting the style of delivery to suit the audience.
  • Previous experience of arranging and supporting Board and Committee Meetings

So, what will you be doing?

Executive Support

  • Management of CEO calendar including 12-month schedule planning for direct report 1:1s, team meetings (offsite and on-site) and online meetings
  • Mailbox management for CEO and Chair of mirus as required.
  • Monitor annual calendar of events, deadlines and reporting.
  • Arrange travel arrangements, management of expenses for CEO and Chair of mirus.
  • Prepare agendas, attend meetings, communicate minutes and monitor resulting action points.
  • Compiling professional standard presentation materials and documents in Microsoft Office and PowerPoint.
  • Predict upcoming needs and independently take appropriate actions.
  • Be the first point of contact for the CEO and Chair of mirus.
  • Professionally address queries and find optimal solutions across a wide variety of issues.
  • Working to ensure urgent issues are picked up, understood, and manage until conclusion.

Company Secretary Administration

  • Working with the Company Secretary to ensure effective and proactive servicing of the Board.
  • Maintain an annual governance schedule for meetings, reports, and the agenda planning cycle.
  • Work with the Director Management Team to produce key information required by the Board of Trustees, including reporting packs and agendas for meetings.
  • Support the Chair in ensuring the board functions efficiently and effectively.
  • Facilitate good communication between the board, committees, senior management and non-executive directors.
  • Maintain and update the Board SharePoint portal, preparing regular updates to the Trustees.
