Purpose of the Role
This role will provide executive assistant support to the F1 Technical Directors to ensure their working days run as smoothly and efficiently as possible, enabling them to focus on their responsibilities in the knowledge that all general administrative support, logistics and arrangements have been taken care of for the F1 Technical team.

- Reporting to the Executive Assistant to the F1 Team Principal
- Based at the MTC in Woking, on-site 4-5 days per week, full-time
- Occasional travel may be required

Principal Accountabilities
- Provide calendar management as required for the F1 Technical Directors
- Manage travel logistics, including car transfers and chauffeur bookings
- Assisting with the set-up of meetings, including booking meeting rooms, catering, AV, WebEx and confirming details with attendees in a timely manner
- Opening, acknowledging and co-ordinating responses to e-mail and post enquiries
- Provide a welcoming, effective, professional response to all visitors and enquiries by phone and face-to-face
- Coordinate, maintain and communicate the office desk/seating plan project across all departments of Technical & Racing
- Ongoing coordination and tracking of projects
- Follow administrative systems/processes to support the operation of the Team, including assistance with sign off requirements and coordination
- Creating presentations, reports, uploading them to company systems, printing and distribution
- Support and administer long service awards scheme, in collaboration with the People team
- Update and maintain email distribution lists and others as appropriate
- Work as part of a team across the McLaren Group to help ensure delivery of McLaren Group company goals, as well as McLaren Racing’s
- Coordinate and manage Executive Offices and dial ins (e.g. WebEx)
- Organise and coordinate Mission Control bookings and food order for race weekends
- Working as part of a team to distribute merchandise and team gifts when required
- Monthly expense reconciliation
- Provide support and holiday cover for EA/PA/Admin absence within the team
- Maintain strong working relationships with McLaren Racing teams and other business functions
Knowledge, Skills and Experience
- Proven experience as a PA/EA in a high performance, fast paced organisation
- Experience within a technology or engineering company is desirable
- Strong communication skills, both verbal and written, and comfortable with communicating at all levels across the Team
- Robust administrative skills and the ability to draft documents without guidance
- A proactive, driven approach to their work, which reflects our high performing culture
- Ability to use initiative to prioritise, resolve issues and improve processes
- Experience as working as part of a collaborative team, yet equally comfortable working independently
- Available and willing to be flexible, to provide support at often unsociable hours, including evenings and weekends
- Knowledge of and a high proficiency in Microsoft Office, including SharePoint and Teams
