Job description
The Executive Assistant role is supporting a Executive Vice President and includes performing general administrative duties to support day-to-day department operations in such areas as scheduling of meetings, travel arrangements, expense reporting, calendar management, ordering supplies, and maintaining department records.

It requires an individual who is highly organized, who can think ahead, is even-keeled, personable and with a customer support mindset.
Main accountabilities - full administrative support, including:
o Calendar management
o Substantial travel arrangements, both domestic and international, many times requiring visa applications/processing, as well as travel logistics by researching best flights/accommodation options according to venue
- Manage department purchases and Purchasing Card reconciliation, ensuring purchases are made in alignment with budget and in compliance with related finance policies
- Manage Travel & Expenses (T&E) effectively and submit individual/team expense reports in a timely manner in compliance with finance policies
- Coordinate team meetings (onsite and offsite), guest speakers, catering, venue booking and other event specific needs
- Ensure all meeting support is appropriately coordinated for meetings and events
- Assist with miscellaneous projects as needed
All About You
- Experience booking international travel a must, including visa requests
- Solid experience in a business administration support capacity interfacing with senior and executive level management
- Proactive and highly organized with attention to detail
- Ability to keep calm under pressure
- Strong business judgement and professional etiquette
- Ability to multi-task and organize a daily workload by priorities
- Must be able to meet deadlines in a fast-paced quickly changing environment
- A proactive approach to problem-solving with strong decision-making skills
- Strong communication skills
Education:
- High School education. College degree a plus.
Knowledge / Experience:
- Administrative experience in a corporate environment interfacing with senior and executive level management and senior customers.
Skills/ Abilities:
- Strong knowledge of department budgets and desk top computer software.
