Business Overview
Risk and Compliance (R&C) works closely with the business to ensure that all areas of the business meet their risk and compliance obligations such as anti-money laundering, management of fraud risks, identifying and reporting conflicts of interest, regulatory reporting and other aspects for which the first line is responsible within the risk and compliance framework.
The team provides specialist, independent second line support through insight and oversight. Inclusive in their role is to review and challenge the business in risk and compliance matters, and provide advice and training as required.
The role
Provide comprehensive administration support to the Chief Risk Officer (CRO), Risk & Compliance (R&C). Contribute to the overall effective operation of the R&C team by delivering a consistently high standard of work in a timely manner. The role will also provide responsive and solutions-focused support to the Head of Compliance, Regional Compliance Directors and the Senior Risk Management team.
Operational Management
- Supporting the CRO to perform her role effectively, building and maintaining close working relationships with staff and key external stakeholders
- Keep abreast of developments within the organisation, to ensure the CRO can be provided with timely and relevant advice and information.
- Develop systems and processes to manage the flow of information to and from the CRO office, ensuring timeliness, consistency, retention and integrity in knowledge and data management.
- Manage the CRO’s diary, using sound professional judgement to prioritise meeting requests to ensure the CRO’s competing demands are effectively managed.
- Proactively monitor CRO communication channels including inbox management with a high level of discretion, diplomacy and judgement. This includes co-ordinating and preparing responses or briefing notes as required keeping the CRO updated, at all times.
- Support the CRO with on-boarding and off-boarding new employees, assist with induction programs, new hire training and monitoring.
- Adoption and change management champion (R&C) for the roll out of firm wide technology initiatives
Cost/Financial Management
- Management of Expense reporting for the CRO
- Monthly reconciliation of the CRO’s business credit card and review of managing Director’s expense claims.
- Support/managing the invoice approval process across global R&C
Event Management
- Organise domestic and international travel arrangements for the CRO including travel visas, hotels and flights and travel briefing documents ensuring drafting travel reports and ensuring travel reporting is up to date.
- Coordinate staff events including team meetings, training, and celebrations. Scheduling, co-ordinate and administration of the Risk Committee and internal global R&C meetings and external meetings convened by the CRO including, meeting room bookings, catering, organising attendees and following up on any action items.
- Support the delivery of IFM Global events, including virtual events, as required
- Provide strategic and logistical support for BARC and Risk Committee meetings
Your background and Experience
- Strong experience as an Executive Assistant within a corporate/professional or financial services environment, supporting a member of senior leadership with a global remit.
- Experience with budget and expense management
- Experience with complex diary and travel management
- An understanding of corporate organisational structures, ability to read the relationships between departments and people.
- Strong understanding of the principles relating to the delivery of administrative services, e.g. confidentiality, protocols, etc.
- Strong written and verbal communication skills across all types of stakeholders within the organisation
- Advanced skills in MS Office Suite i.e. Word, Excel and PowerPoint
- Proficient in using a document management system
