Executive Assistant to the SLT Team
Location: Remote, however will be required to attend the Medway office periodically

Our Senior Leadership Team (SLT) plays a crucial role in shaping our vision and strategy, and we are seeking an exceptional Executive Assistant to support them in their mission.
Your Role: As our Executive Assistant, you will be at the heart of our onboarding process, working closely with the SLT and other managers. Your friendly demeanor and proactive approach will create a welcoming atmosphere for all, and your ability to think on your feet will help us tackle challenges head-on.
Key Responsibilities:
1. DBS System Checks:
· Conduct thorough DBS (Disclosure and Barring Service) system checks for new hires, volunteers, or other relevant personnel in compliance with legal and organisational requirements.
· Maintain accurate records of all DBS checks, ensuring they are up-to-date and aligned with the organisation's policies.
· Undertake refresher DBS Checks as required by statute.
2. Onboarding Process Collation:
· Coordinate and manage the onboarding process for new employees in collaboration with department heads.
· Collect and collate all necessary documents and information required for new hires, including contracts, forms, and employee details.
· Ensure that the onboarding process is seamless, efficient, and welcoming for new team members including supporting the recruiting manager with the induction process.
· Arrange for acquisition and distribution of IT equipment as necessary.
· Arrange to request and collate references from new staff.
· Arrange “right-to-work” documentation.
3. General Support for Managers:
· Provide comprehensive administrative support to SLT members and other managers as needed regarding their team’s recruitment, chasing references, setting probation reminders, support in setting up interviews including calendar management, travel arrangements, and meeting coordination.
· Support managers with the sickness/return to work process
· Handle phone calls, emails, and enquiries on behalf of managers, ensuring prompt and professional responses.
· Support managers in arranging CPD courses and additional training for staff members.
Maintain the Company Central Records
4. Company Dashboard
· Collate information from each department to update the company central dashboard monthly and distribute as necessary.
5. Staff Central Records
· Update the staff central records as necessary, including the Atlas HR database so that all staff information is accurate and UpToDate.
6. Payroll
· Collate Payroll data from line managers and ensure it is received by the finance team on a timely basis.
· Support Communication and Coordination between the Management Team.
7. Communication and Coordination:
· Facilitate smooth communication and coordination within the Management team and across departments.
· Act as a central point of contact for information dissemination and escalation of urgent matters and reports
Executive and Secretarial Support
8. Provide executive and secretarial support as needed to the CEO and SLT.
